Key Job Responsibilities
- Warranty Claim Management
- Receive, verify, and process warranty claims from the workshop.
- Ensure claims are submitted to the manufacturer within the prescribed timelines.
- Check that claims meet warranty terms and conditions.
- Follow up on rejected, short-paid, or pending claims.
- Warranty Policy Compliance
- Ensure dealership operations comply with the OEM's warranty policies and procedures.
- Keep updated with changes in warranty policies, technical bulletins, and circulars.
- Guide service advisors and technicians regarding warranty eligibility.
- Technical Inspection &
- Diagnosis
- Review warranty-related vehicle complaints and repair details.
- Verify whether a failure is due to a manufacturing defect or normal wear and tear.
- Coordinate with technicians for proper diagnosis and documentation.
- Inspect major or doubtful warranty cases before approval.
- Documentation &
- Record Keeping
- Maintain complete records of warranty repairs, parts replaced, labour claims, photographs, job cards, and supporting documents.
- Ensure accurate VIN/chassis, mileage, repair-order, and part information in the warranty system.
- Maintain records for warranty audits.
- Warranty Parts Management
- Ensure replaced warranty parts are properly tagged, stored, and preserved as per OEM requirements.
- Coordinate with parts personnel for warranty part returns.
- Ensure parts are available for OEM inspection or audit when required.
- Monitor disposal/return of warranty parts according to OEM instructions.
- Claim Quality &
- Financial Control
- Minimize warranty claim rejections and deductions.
- Ensure correct labour operation codes, part numbers, causal parts,
and failure codes are used.
- Monitor warranty receivables and claim settlements.
- Identify revenue leakage caused by incorrect or missed warranty claims.
- OEM Coordination
- Communicate with the manufacturer's regional warranty team.
- Handle technical queries and obtain approval for special or major warranty repairs where required.
- Participate in warranty meetings, campaigns, and OEM training programs.
- Warranty Audit
- Prepare the dealership for OEM warranty audits.
- Ensure all physical parts and documents match submitted claims.
- Correct discrepancies identified during audits.
- Implement corrective actions to prevent repeat audit observations.
- Team Coordination &
- Training
- Train service advisors, technicians, and warranty staff on warranty procedures.
- Coordinate between the service, parts, accounts, and manufacturer teams.
- Monitor the performance and productivity of warranty personnel.
- Warranty Campaigns &
- Recalls
- Monitor and implement manufacturer warranty campaigns, service campaigns, and recalls.
- Ensure eligible vehicles are identified and repairs are completed properly.
- Track campaign completion and reporting.
