Position: Fleet Support Coordinator / Fleet Maintenance Manager Department: Transport & Logistics Reporting To: Operations Head / G.M plant
Key Roles & Responsibilities
- Ensure maximum fleet availability by minimizing vehicle breakdowns and downtime.
- Act as the single point of contact between drivers, fleet managers, workshop staff, and mechanics.
- Maintain continuous communication with all drivers regarding vehicle health, trip progress, and breakdowns.
- Coordinate with site managers and dispatch managers for vehicle movement and maintenance scheduling.
- Arrange immediate roadside repair whenever a vehicle breaks down.
- Identify, contact, and dispatch the nearest available mechanic to the breakdown location.
- Develop and maintain a comprehensive database of: Heavy vehicle mechanics Electricians Hydraulic technicians Welders Tyre repair shops Recovery cranes and towing services Ensure preventive maintenance is completed as per the service schedule. Monitor engine oil, gearbox oil, differential oil, grease, filters, coolant, and other consumables.
Schedule periodic servicing based on running hours or kilometers. Coordinate with workshops for major repairs and overhauls. Arrange spare parts, lubricants, and consumables required for repairs. Maintain minimum stock levels of quick-moving spare parts. Follow up on pending repairs until vehicles are back in operation. Maintain complete maintenance records for every vehicle. Track breakdown history and identify recurring failures. Prepare daily reports on: Vehicles under repair Running vehicles Breakdown status Maintenance progress Verify repair quality before releasing vehicles for operation. Negotiate repair costs and maintain relationships with external mechanics and vendors. Ensure all repairs are completed safely and cost-effectively. Monitor tyre condition, battery health, suspension, braking system, hydraulics, and electrical systems. Coordinate emergency repairs during night shifts and holidays whenever req
