Role & responsibilities

1. Facility & Infrastructure Management

- Own end-to-end facility management for plant, warehouse, and corporate office premises housekeeping, upkeep, horticulture, pest control, and general infrastructure.
- Plan and execute preventive maintenance schedules for utilities (DG sets, HVAC, electrical systems, plumbing, fire-fighting systems) in coordination with engineering/maintenance teams.
- Manage space planning, office layouts, and infrastructure augmentation as the organization scales.

2. Security & Access Control

- Oversee plant/office security operations including manned guarding, CCTV surveillance, access control systems, and visitor management.
- Liaise with local police, fire department, and law enforcement for security clearances and incident management.
- Drive security audits, gate discipline, material in/out protocols, and asset protection.

3. Vendor & Contract Management

- Manage end-to-end vendor lifecycle housekeeping, security agencies, canteen/cafeteria, transport, courier, pantry, and facility service providers.
- Negotiate contracts, SLAs, and rate contracts; drive cost optimization without compromising service quality.
- Conduct periodic vendor performance reviews and ensure compliance with contractual and statutory obligations (PF, ESI, minimum wages for contract staff).

4. Transport & Employee Services

- Manage employee transport operations (shift-based commute for plant workforce), route optimization, and vendor coordination.
- Oversee canteen/cafeteria operations, ensuring food safety (FSSAI) compliance and quality standards.
- Manage guest house, travel desk, and hospitality arrangements for visiting management and business associates.

5. Statutory Compliance & Liaison

- Ensure compliance under Factories Act, Shops & Establishment Act, Contract Labour (Regulation & Abolition) Act, and other applicable state/central labour and administrative regulations.
- Liaise with government bodies, municipal corporations, pollution control boards, and local authorities for licenses, NOCs, and renewals (Factory License,



Trade License, Fire NOC, Pollution Consent, etc.).
- Maintain statutory registers and ensure audit-readiness at all times.

6. Admin Operations & MIS

- Manage admin budgets, cost centers, and drive cost-control initiatives across all admin functions.
- Build and maintain MIS/dashboards for facility costs, vendor performance, compliance status, and admin KPIs for leadership review.
- Drive digitization of admin processes (visitor management, asset tracking, helpdesk ticketing).

7. Team Leadership

- Lead and mentor a team of admin executives, security supervisors, and support staff across plant and office locations.
- Build SOPs, escalation matrices, and emergency response protocols (fire drills, evacuation, medical emergencies).

Preferred candidate profile Experience & Background

- 1013 years of progressive experience in Administration, with at least 5–6 years in a plant/manufacturing environment.
- Prior experience in Automotive, Commercial Vehicle (HCV/LCV), EV, or Auto-ancillary manufacturing setup.
- Demonstrated experience managing a large blue-collar/contract workforce ecosystem (transport, canteen, security) typical of a shop-floor workplace.
- Experience working in a JV, multi-stakeholder, or matrix organization structure preferred.

Education

- Graduate/Postgraduate in any discipline; PG Diploma in Administration/Facility Management/HR is an added advantage.
- Fire Safety / Industrial Safety certification preferred.

Skills & Competencies

- Strong working knowledge of Factories Act, Contract Labour Act, and other statutory/compliance frameworks applicable to a manufacturing plant.
- Proven vendor negotiation and contract management skills.
- High tolerance for shopfloor, ground-level execution — this is not a desk-only role.
- Strong crisis-management and problem-solving orientation; comfortable handling security incidents, union-adjacent situations, and emergencies.
- Proficient in MS Excel/PowerPoint for MIS and leadership reporting.
- Excellent stakeholder management skills — ability to interface confidently with senior management, government officials, and vendors alike.
