Senior Manager Procurement & Projects to manage end-to-end procurement activities, EPCG applications, customs/CHA clearance, import shipment tracking, vendor management, and renovation/project execution. The role requires strong coordination with suppliers, CHA/customs agents, freight forwarders, consultants, contractors, finance, and internal stakeholders to ensure timely and cost-effective project delivery.
Key Responsibilities
1. Procurement Management
- Manage end-to-end procurement of CAPEX, MRO, engineering materials, equipment, spares, services, and project requirements.
- Identify, evaluate, negotiate, and onboard reliable domestic and international suppliers.
- Obtain and compare quotations, negotiate commercial terms, and issue purchase orders.
- Ensure timely procurement in line with project schedules and approved budgets.
- Develop and maintain vendor relationships and supplier performance records.
- Monitor purchase orders, delivery schedules, quality, documentation, and payment milestones.
- Drive cost reduction, alternate sourcing, and value-engineering initiatives.
2. EPCG Application & Compliance
- Manage the complete EPCG (Export Promotion Capital Goods) application process, including preparation and submission of required documents.
- Coordinate with DGFT, customs authorities, consultants, finance, and internal teams for EPCG-related approvals and compliance.
- Ensure accuracy of import documents, purchase orders, invoices, technical specifications, and supporting documentation.
- Track EPCG licenses, authorizations, export obligations, installation certificates, and closure requirements.
- Maintain proper records for audits and statutory compliance.
3. CHA & Customs Clearance
- Coordinate with CHA/Customs Brokers, customs authorities, freight forwarders, and shipping lines for smooth clearance of imported goods.
- Review and verify Bill of Entry, commercial invoice, packing list, COO, insurance, HS codes, and other import documentation.
- Ensure correct classification, valuation, duty assessment, and applicability of exemptions/benefits.
- Resolve customs queries, documentation discrepancies, examination issues, and clearance delays.
- Monitor customs duty payments and ensure timely clearance to avoid demurrage, detention, and other additional costs.
4. Import Shipment Tracking
- Track international shipments from supplier dispatch through port arrival, customs clearance, and final delivery.
- Maintain shipment trackers covering PO status, ETD, ETA, vessel details, BL/AWB, port arrival, clearance status, and delivery.
- Coordinate with suppliers and freight forwarders to ensure timely shipping documentation.
- Proactively identify shipment delays and implement corrective actions.
- Monitor demurrage, detention, freight, port charges, and other logistics costs.
- Provide regular shipment and import status reports to management.
5. Renovation & Project Management
- Manage procurement and execution activities for renovation, refurbishment, expansion, facility improvement, and infrastructure projects.
- Coordinate with architects, consultants, civil contractors, MEP contractors, fabricators, vendors, and project teams.
- Prepare and monitor project schedules, budgets, BOQs, procurement plans, and execution milestones.
- Supervise site activities and ensure work is completed as per approved specifications, quality standards, timelines, and budgets.
- Coordinate civil, electrical, HVAC, plumbing, fire-fighting, interiors, furniture, equipment installation, and related works.
- Monitor contractor performance, measurement, billing, variations, and project completion.
- Conduct regular site reviews and provide progress reports to management.
6. Commercial & Cost Control
- Prepare procurement budgets and monitor actual expenditure against approved budgets.
- Negotiate pricing, credit terms, delivery terms, warranties, and service agreements.
- Evaluate total landed cost for imported materials and equipment.
- Control project cost overruns and unauthorized variations.
- Support finance teams with GRN, invoice verification, payment documentation, and vendor reconciliation.
7. Documentation & Reporting
- Maintain proper records of POs, quotations, contracts, EPCG licenses, import documents, customs documents, shipment trackers, and project documentation.
- Prepare MIS reports covering procurement savings, pending POs, imports, EPCG status, shipment status, project progress, and outstanding issues.
- Ensure compliance with company procurement policies and applicable statutory requirements.
- Support internal, statutory, and customs-related audits.
Key Skills & Competencies
- Strong knowledge of procurement and strategic sourcing.
- Practical experience with EPCG, DGFT, import procedures, customs clearance, and CHA coordination.
- Good understanding of international logistics and shipping documentation.
- Solid vendor negotiation and commercial skills.
- Experience in renovation, facility, CAPEX, or engineering projects.
- Excellent project coordination and stakeholder-management skills.
- Strong analytical, problem-solving, and decision-making abilities.
- Proficiency in MS Excel, ERP/SAP, procurement systems, and MIS reporting.
- Ability to manage multiple projects, suppliers, shipments, and deadlines simultaneously.
Qualification & Experience
- Graduate degree in Engineering, Commerce, Supply Chain, Logistics, or a related discipline; MBA/PG qualification in Supply Chain/Procurement is preferred.
- 8 - 15 years of relevant experience in procurement, import/export, EPCG, customs clearance, logistics, and project/renovation management.
- Experience in manufacturing, engineering, hospitality, infrastructure, or other project-driven organizations will be an advantage.
