About the Role

We are looking for an experienced Facility Manager / Property Manager to oversee the day-to-day operations, maintenance, safety, security, and overall upkeep of residential, commercial, or mixed-use real estate properties.

The role will be responsible for ensuring that the property is maintained to high standards, all facility services operate efficiently, statutory requirements are complied with, and residents, tenants, clients, and other stakeholders receive a high level of service.

Key Responsibilities

1. Property & Facility Management

- Manage day-to-day operations and overall administration of the assigned property/project.
- Ensure proper functioning and maintenance of all building services and common areas.
- Monitor housekeeping, security, landscaping, pest control, waste management, and other facility services.
- Conduct regular property inspections and identify maintenance, safety, and operational issues.
- Ensure timely resolution of complaints, breakdowns, and service requests.
- Maintain the overall appearance, cleanliness, hygiene, and presentation of the property.

1. Engineering & Maintenance

- Supervise preventive and corrective maintenance of:

- Electrical systems

- DG sets

- HVAC systems

- Lifts/elevators
- Fire-fighting systems

- Plumbing and drainage

- STP/WTP systems

- Pumps and motors

- Building management systems
- Common-area infrastructure
- Prepare and monitor preventive maintenance schedules.
- Coordinate with technical teams and external agencies for breakdown and repair work.
- Ensure minimum downtime of critical building services.

1. Vendor & • Contractor Management

- Identify, evaluate, appoint, and manage facility management vendors and contractors.
- Monitor vendor performance against agreed SLAs and KPIs.
- Verify service quality and contractor manpower deployment.
- Review vendor quotations and negotiate commercial terms.
- Ensure timely renewal of AMC, service contracts, licenses, and agreements.
- Maintain proper documentation of vendor contracts and performance records.

1. Budget & • Cost Control

- Prepare annual facility management budgets and operating expenses.
- Monitor actual expenses against approved budgets.
- Identify opportunities for cost optimization without compromising service quality.
- Review vendor bills and certify services before processing payments.
- Control utility expenses including electricity, water, fuel, and other operational costs.

1. Safety, Security & • Compliance

- Ensure compliance with applicable statutory and safety requirements.




- Monitor fire and life-safety systems and ensure periodic testing and maintenance.
- Conduct fire drills and emergency preparedness exercises.

- Coordinate with security agencies and ensure effective access-control systems.
- Maintain emergency response procedures and disaster management plans.
- Ensure required licenses, certificates, inspections, and statutory records are maintained.

- Coordinate with local authorities, fire department, utility providers, and other government agencies whenever required.

1. Resident / Tenant / Client Management

- Act as the primary point of contact for residents, tenants, clients, and property stakeholders.

- Handle and resolve complaints, service requests, and operational concerns.
- Ensure timely communication regarding maintenance activities, shutdowns, repairs, and emergencies.
- Develop strong relationships with residents, tenants, society representatives, and other stakeholders.

- Conduct regular meetings with key stakeholders and maintain service standards.

1. Team Management

- Lead and supervise facility, engineering, housekeeping, security, and other support teams.

- Define responsibilities and monitor team performance.
- Prepare duty rosters and manpower schedules.
- Conduct regular team meetings, training, and performance reviews.
- Ensure adequate manpower availability across shifts.

- Promote discipline, professionalism, safety, and customer-service orientation.

1. Property Administration & • Documentation

- Maintain property-related records, registers, contracts, AMC documents, inspection reports, and statutory certificates.
- Prepare daily, weekly, and monthly operational reports.
- Maintain records of maintenance activities, breakdowns, complaints, incidents, and resolutions.
- Monitor asset registers and ensure proper tagging and documentation of equipment.
- Maintain records of utility consumption and analyze trends.

1. Energy & • Sustainability

- Monitor electricity, water, fuel, and other utility consumption.
- Identify opportunities for energy and water conservation.
- Implement initiatives to reduce operational costs and environmental impact.
- Monitor waste segregation, recycling, and sustainable facility practices.

1. Emergency & • Incident Management





- Respond effectively to emergencies, accidents, breakdowns, fire incidents, water leakage, power failures, and other critical situations.
- Coordinate with emergency services and relevant authorities.
- Conduct root-cause analysis for major incidents and implement corrective actions.
- Maintain emergency contact lists and response protocols.

Required Qualifications
- Bachelor's degree in Facility Management, Engineering, Property Management, Business Administration, or a related field.
- Diploma/Degree in Mechanical, Electrical, Civil Engineering or Facility Management will be an advantage.
- Relevant certifications in Facility Management, Fire &

• Safety, HVAC, or related areas will be preferred.

Experience
- 510 years of relevant experience in facility management/property management.
- Experience in real estate, residential societies, commercial buildings, malls, business parks, hotels, or large-scale projects preferred.
- Candidates with experience managing large properties and multiple vendors will be preferred.

The candidate should possess strong leadership, vendor-management, communication, negotiation, and problem-solving skills and should be comfortable working in a fast-paced real estate environment.
