Job Summary:

Responsible for the overall supervision, coordination, and smooth functioning of the Preprocessing and Filling operations, ensuring that raw/preprocessed materials are processed, handled, stored, and supplied to the filling section on time, while maintaining quality standards, GMP compliance, 5S practices, productivity, documentation, and regulatory requirements.

Key Responsibilities

- Overall Department Supervision
- Supervise and coordinate the day-to-day activities of both the Preprocess and Filling Departments.
- Plan and allocate manpower and work activities according to daily production requirements.
- Monitor workflow to ensure smooth and uninterrupted movement of materials from preprocessing through filling.
- Ensure that production targets are achieved within the planned time, manpower, and resource availability.
- Preprocessing Operations
- Supervise all preprocessing activities, including material handling, cleaning, purification, drying, processing, and related operations.
- Allocate preprocessing tasks to workers and monitor each stage of the process.
- Monitor critical parameters such as moisture levels, drying duration, texture, appearance, and other process-specific requirements.
- Ensure proper handling and prevention of contamination, mix-ups, and material loss during preprocessing.
- Verify that processed materials are properly labelled, identified, and stored before transferring them to the filling section.
- Maintain accurate batch-wise records of all preprocessing activities.

Filling Operations

- Supervise the complete filling line, including bottle filling, sealing, labelling, and associated activities.
- Ensure filling and sealing machinery is operated correctly and efficiently.
- Monitor filling accuracy, quantity, sealing integrity, and overall product presentation.
- Ensure proper application of labels, batch details, manufacturing/expiry information, and other traceability requirements.
- Monitor the availability of bottles, caps, labels, and other required packing/filling materials to prevent production interruptions.
- Coordinate with relevant departments for timely availability of finished products and materials.

Manpower Management

- Allocate duties and responsibilities to workers based on production requirements and individual capabilities.
- Monitor worker attendance, discipline, productivity, and adherence to assigned responsibilities.
- Provide on-the-job guidance and training to workers regarding process requirements, machine operation, hygiene, safety, GMP, and 5S.
- Identify manpower shortages and communicate requirements to the concerned management.

Quality & GMP Compliance





- Ensure that all preprocessing and filling activities are carried out in accordance with GMP, quality standards, SOPs, and approved procedures.
- Coordinate closely with the Quality Control (QC) Department for sampling, inspection, testing, and resolution of quality-related issues.
- Immediately report deviations, abnormalities, contamination risks, material mix-ups, machine issues, or other quality concerns to the concerned authority.
- Ensure that rejected, damaged, or non-conforming materials are properly identified, segregated, and handled as per procedure.
- Maintain proper hygiene and ensure compliance with personal cleanliness and departmental sanitation requirements.

Production Planning & Coordination

- Coordinate with Production Management to understand daily and monthly production requirements.
- Ensure timely availability of processed materials for filling operations.
- Coordinate with Packing, Stores, QC, Maintenance, and Production to avoid delays in production.
- Monitor the movement of materials and finished products to ensure there is no unnecessary accumulation or shortage.
- Escalate production delays, bottlenecks, material shortages, and operational difficulties to management.

Machinery & Equipment

- Monitor the proper functioning of preprocessing and filling machinery.
- Ensure machines and equipment are operated only by trained and authorized personnel.
- Coordinate with the Maintenance Department regarding machine breakdowns, preventive maintenance, servicing, and repairs.
- Monitor machine downtime and identify recurring operational issues.
- Ensure proper cleaning and upkeep of machinery and equipment after use.

Documentation & Record Keeping

- Ensure accurate and timely completion of batch manufacturing records, process records, equipment records, checklists, and other departmental documents.
- Verify that entries are complete, legible, accurate, and maintained as per established procedures.
- Maintain records related to production output, wastage, manpower utilization, machine downtime, and material consumption.
- Ensure proper traceability of materials and products throughout the preprocessing and filling stages.

5S & Workplace Management

- Maintain 5S standards throughout the Preprocess and Filling areas.
- Ensure proper housekeeping, cleanliness, organization, identification,



and storage of materials and equipment.
- Conduct regular checks to identify and rectify housekeeping and workplace organization issues.
- Ensure waste materials are properly segregated and disposed of according to company procedures.

Safety & Hygiene

- Ensure that all employees follow applicable safety procedures while handling materials and operating machinery.
- Ensure the use of appropriate Personal Protective Equipment (PPE).
- Identify unsafe practices and conditions and take immediate corrective action.
- Report accidents, near misses, and safety concerns to the concerned authority.

Productivity & Process Improvement

- Monitor daily production performance and identify areas for improvement.
- Minimize material wastage, production losses, machine downtime, and unnecessary process delays.
- Suggest improvements in workflow, manpower utilization, equipment usage, and process efficiency.
- Monitor departmental performance against assigned production targets.

Interdepartmental Coordination

- Maintain effective coordination with QC, Production, Packing, Stores, Maintenance, and other concerned departments.
- Ensure timely communication of production requirements, quality issues, material shortages, machine breakdowns, and other operational concerns.
- Coordinate with Packing/Filling material supervisors to ensure continuous availability of required materials.
- Support management during audits, inspections, stock verification, investigations, and other departmental requirements.

Compliance & Audit Readiness

- Ensure the department remains prepared for internal and external inspections and audits.
- Maintain proper documentation and ensure adherence to company policies, SOPs, GMP, and applicable regulatory requirements.
- Implement corrective and preventive actions as directed by management and the concerned quality team.

Reporting & Performance Monitoring

- Prepare and submit daily/periodic reports relating to production, manpower, material usage, wastage, downtime, and departmental performance.
- Communicate significant operational issues and deviations to the concerned management without delay.
- Monitor the overall performance of the Preprocess and Filling operations and provide appropriate feedback to management.

Overall Responsibility The Supervisor shall be responsible for ensuring the efficient, timely, secure, and quality-compliant operation of both Preprocessing and Filling activities, while maintaining proper coordination between employees and supporting departments to achieve production targets with minimum wastage and maximum productivity. Pay: ₹20,000.00 - ₹25,000.00 per month
