PROCESS & SYSTEMS COORDINATOR

About the Role
Sanjeevani Infra Company is strengthening its internal systems and moving towards a more process-driven, structured and automated way of working across Projects, Purchase, Billing, Accounts, HR, Administration and other departments.
We are looking for a highly organised and proactive Process & Systems Coordinator who will take ownership of implementing the systems, SOPs, formats, trackers and workflows decided by Management.
This role is not merely about preparing documents or doing follow-ups.
The person will act as the bridge between Management, Office Team, Site Team and different Departments to ensure that every approved process is actually implemented, followed, monitored and gradually automated.
Key Responsibilities1. Process Implementation
- Understand processes and systems designed by Management.
- Convert management instructions into simple actionable workflows.
- Implement approved SOPs across Office and Project Sites.
- Ensure that new systems are actually being followed by concerned employees.
- Identify gaps between the defined process and actual execution.
2. SOP & Documentation Control
- Prepare, update and maintain SOPs, formats, checklists and process documents.
- Maintain proper document numbers, revisions and version control.
- Ensure only the latest approved formats are being used.
- Maintain organised digital records and department-wise folders.
3. Process Coordination
Coordinate between
- Project / Site Engineers
- Purchase Department
- Estimation & Billing
- Accounts
- HR & Administration
- QA/QC
- Management
- Vendors / Consultants, wherever required
The Coordinator must ensure that every process has:
Maker → Checker → Approver → Timeline → Status → Closure
- Tracking & Follow-Up
- Maintain central trackers for important processes.
- Identify pending activities and responsible persons.
- Follow up until closure.
- Highlight overdue items to Management.
- Develop simple Red / Amber / Green status monitoring.
5. Process Automation
Work with Management to gradually convert manual systems into digital / automated workflows using suitable tools such as:
- Excel / Google Sheets
- Google Forms / Microsoft Forms
- Google Drive / Shared folders
- WhatsApp-based structured communication
- Microsoft Office
- AI tools
- Project Management tools
- ERP / CRM / workflow software in future
The candidate is not expected to be a software developer, but should be comfortable understanding technology and coordinating implementation.

Assist Management in developing and implementing systems for areas such as:
- Purchase & Procurement
- Material Requisition
- Purchase Orders
- Vendor Management
- Material Receipt / GRN
- Billing
- Contractor Bills
- Accounts & Payments
- DPR / Project Monitoring
- Quality Control
- HR
- Leave / Attendance
- Documentation
- Management MIS
- Approval Workflows
7. Training & Adoption
- Explain new processes to employees in straightforward language.
- Conduct short process-training sessions.
- Demonstrate formats using live examples.
- Assist teams during initial implementation.
- Ensure staff understands why the process is required.
- Resolve practical difficulties without making systems unnecessarily complicated.
8. Management Dashboard & MIS
Prepare concise Management Reports showing:
- Pending Tasks
- Delayed Processes
- Approval Pending
- Process Compliance
- Department-wise Status
- Exceptions
- Repeated Process Failures
- Corrective Actions
The objective should be that Management sees exceptions and decisions, rather than having to manually follow every routine activity.
Key Result Areas – KRAs The successful candidate will be measured on:
- % of approved processes successfully implemented
- Process compliance across departments
- Reduction in repeated follow-ups
- Reduction in missing / untraceable documentation
- Timely closure of pending actions
- Accuracy of trackers and MIS
- Staff adoption of new systems
- Reduction in dependency on individual persons
- Improvement in Maker–Checker controls
- Successful digitisation / automation of repetitive workflows
Candidate ProfileEducation
Any suitable qualification such as:
- BE / Diploma – Civil / Engineering
- B.Com / BBA / BCA
- MBA / Management
- Operations / Systems related qualification
Qualification is secondary to process orientation,
ownership and execution ability.
Experience
2–5 years preferred in any combination of:
- Process Coordination
- Project Coordination
- Operations
- Construction / EPC
- Management Systems
- MIS
- Quality Systems
- Internal Coordination
- ERP / Software Implementation
- PMO / Process Excellence
Exceptional candidates with less experience but very strong systems capability may also be considered.

Language
Good working communication in
Marathi + English + Hindi is preferred.

Important
This is NOT a routine administrative or data-entry position.
The person will be responsible for ensuring that Management-approved systems are translated into actual day-to-day working practices across the organisation.
The role has significant exposure to Management and provides an opportunity to help build the operational systems of a growing infrastructure organisation.
