Payroll Specialist – Key Responsibilities
Payroll Processing
- Process end-to-end payroll for associates in accordance with company policies and payroll calendars.
- Validate payroll inputs including attendance, leaves, overtime, incentives, allowances, deductions, and reimbursements.
- Ensure accurate calculation of salaries, bonuses, incentives, arrears, and final settlements.
- Perform pre-payroll and post-payroll audits to ensure payroll accuracy.
- Process off-cycle payroll payments as required.
Data Management & Validation
- Maintain and update employee payroll records in HRIS/payroll systems.
- Review payroll input files for completeness and accuracy.
- Reconcile payroll data with HR, Finance, and Operations records.
- Ensure employee master data is accurate and updated.
- Conduct periodic payroll audits and data quality checks.
Statutory Compliance
- Ensure compliance with all applicable labor laws and payroll regulations.
- Manage statutory deductions such as:
- Provident Fund (PF/EPF)
- Employees' State Insurance (ESIC)
- Professional Tax
- Labor Welfare Fund
- Income Tax (TDS)
- Gratuity and other applicable benefits
- Coordinate statutory filings and submissions within prescribed timelines.
- Support internal and external compliance audits.
Employee Query Resolution
- Serve as the first point of contact for payroll-related inquiries.
- Resolve employee concerns related to salary, taxation, deductions, leave impact, and benefits.
- Educate employees on payroll policies and procedures.
- Maintain agreed service levels and response timelines.
Reporting & Analytics
- Prepare payroll reports, reconciliations,
and management dashboards.
- Generate monthly, quarterly, and annual payroll metrics.
- Support finance teams with payroll-related accounting entries.
- Analyze payroll trends and identify discrepancies.
- Assist in workforce cost analysis and budgeting activities.
Final Settlement & Benefits Administration
- Process Full and Final Settlements (F&F;) for separated employees.
- Compute leave encashment, recoveries, gratuity, and other separation-related payments.
- Coordinate benefits administration activities.
- Ensure timely clearance and payment processing.
Stakeholder Management
- Collaborate with HR, Finance, Operations, and external payroll vendors.
- Coordinate payroll approvals and sign-offs.
- Support payroll system implementations and enhancements.
- Work closely with leadership to ensure payroll governance.
Controls & Governance
- Maintain confidentiality of employee and payroll information.
- Ensure compliance with internal controls and audit requirements.
- Document payroll processes and Standard Operating Procedures (SOPs).
- Identify opportunities for payroll automation and process improvement.
- Participate in payroll projects, system upgrades, and process transitions.
