Operations Manager
Location: Coimbatore, Tamil Nadu

About the Role
We are looking for an Operations Manager to take ownership of the day-to-day functioning of our growing company.
This is a broad, hands-on role covering finance operations, HR and people administration, recruitment coordination, client coordination, vendor management, office administration, and compliance.
At our stage of growth, many processes are still being built. You will not simply be managing established systems — you will be expected to design, implement, and improve them.
You will be the person who makes sure the company runs smoothly so that the rest of the team can focus on their work.
If you enjoy bringing structure to ambiguity, taking ownership, and turning recurring tasks into reliable systems, this role is for you.
Key Responsibilities1. Finance Operations
- Manage client invoicing, receivables, and payment follow-ups.
- Coordinate vendor payments, petty cash, and expense tracking.
- Monitor budgets and maintain accurate financial records.
- Coordinate with the company's Chartered Accountant for GST, TDS, and statutory filings.
- Ensure that invoices, expenses, and supporting documents are available to the CA on time.
- Track outstanding receivables and payables and provide regular updates to the Founder.
- Maintain banking and financial administration.
You are not expected to be a Chartered Accountant. You will be responsible for ensuring that financial operations are organised, accurate, and completed on time.2. HR & People Administration
- Maintain attendance and leave records.
- Coordinate payroll inputs.
- Prepare offer letters, employment documentation, and onboarding materials.
- Manage employee onboarding and exit formalities.
- Maintain employee records and documentation.
- Coordinate statutory requirements including PF, ESI, and Professional Tax.
- Work with external partners wherever specialist HR or compliance support is required.
1. Recruitment Operations
Recruitment will be an important part of the role, particularly during the company's current growth phase.
You will
- Coordinate interview schedules and candidate communication.
- Manage recruitment pipelines and follow-ups.
- Coordinate college placement drives and campus recruitment activities.
- Organise assessments, interviews, and other selection logistics.
- Coordinate offer documentation and joining formalities.
- Maintain accurate candidate records.
- Ensure candidates have a smooth and qualified experience throughout the recruitment process.
1. Client Coordination & Delivery Logistics
You will act as an important coordination point between clients and the internal team.
Responsibilities include
- Scheduling cohorts, programmes, meetings, and sessions.
- Preparing and sending proposals and following up on them.
- Keeping clients informed about schedules, deliverables, and timelines.
- Tracking commitments, deliverables, and important dates.
- Coordinating logistics required for client programmes and sessions.
- Following up internally when action is required from the engineering or delivery team.
- Being a reliable point of contact when technical teams are focused on execution.
This is not a sales or business development role, but you will often be one of the people clients interact with most frequently.
1. Office, Vendor & Facilities Management
Take ownership of the practical requirements that keep the workplace running smoothly, including:
- Office administration and facilities.
- Utilities, internet, and other recurring services.
- Equipment procurement and maintenance.
- AMC and service contracts.
- Insurance administration.
- Vendor coordination and negotiation.
- Travel and accommodation bookings.
- General office requirements and day-to-day operational issues.
The goal is simple: the team should not have to think about whether the office is functioning — it should just work.
1. Build Systems & Processes
A major part of this role will involve creating processes that do not yet exist. You will be expected to:
- Identify repetitive or inefficient workflows.
- Create standard operating procedures and checklists.
- Build systems for finance, HR, recruitment, and administration.
- Introduce tools that reduce manual work.
- Automate repetitive operational tasks wherever practical.
- Establish tracking systems and dashboards.
- Continuously improve how the company operates as the team grows.
This role is ideal for someone who enjoys building systems from scratch rather than simply following existing processes.

- Automating repetitive administrative work
- Building simple workflows using tools such as n8n or Zapier
You do not need a technical or engineering background. What matters is that you are curious and willing to learn. What We're Looking ForMust Have
- 4+ years of experience in operations, administration, business support, or a similar role.
- Experience working in a small or growing company where you owned responsibilities rather than simply assisting someone else.
- Hands-on experience managing finance operations, including:
- Invoicing
- Receivables
- Vendor payments
- Expense tracking
- Coordination with an external CA
- Working knowledge of Indian statutory requirements such as:
- GST
- TDS
- PF
- ESI
- Professional Tax
- Strong Excel / Google Sheets skills.
- Ability to communicate confidently with clients and follow through on commitments.
- Strong organisational and follow-up skills.
- Ability to prioritise when multiple things require attention simultaneously.
- Comfort working in an environment where processes are still being built.
- A strong sense of ownership and accountability.
Strong Plus
- Experience in education, training, professional services, or a similar environment.
- Experience coordinating recruitment or campus placement drives.
- Experience setting up HR or finance processes from scratch.
- Fluency in Tamil and English.
- Experience with vendor negotiation and contract management.
- Experience using AI tools in day-to-day work.
- Experience with workflow automation tools such as n8n or Zapier.
Not Required
- Technical or engineering background.
- MBA or other management degree.
- Chartered Accountancy qualification.
- Sales or business development experience.
- Previous experience in the AI industry.
- Experience working in a large corporate environment.
In fact, extensive large-company operations experience may not be the right fit if you are used to highly specialised roles and established processes. What Success Looks Like In this role, success means the company runs smoothly without the Founder having to personally chase every operational detail.

- Where every recruitment process stands.
- What is happening with upcoming client programmes.
- Whether vendors and office requirements are being handled.
- Which operational problems need the Founder's attention.
- Which recurring problems can be solved by creating a better system.
Judgement under competing priorities is the core of this role. Everything else can be learned. Why This Role Is Different
This is not a role where you will inherit a finished operations department and maintain it.
You will be building the operations function itself.
You will work closely with the Founder and have visibility across finance, people, clients, recruitment, facilities, and company administration.
If you are someone who sees a messy process and thinks, "There has to be a better way to run this," you will probably enjoy this role.
