We’re looking for an Operations Associate with 0 - 2 years of experience to join the Positive Wave Foundation team.
You’ll be working closely with the GWF team to keep our day-to-day operations running smoothly, from handling queries and coordinating counselling slots to maintaining trackers, managing expenses and making sure all our processes are up to date.
You’ll also work closely with our Human Resources Team, supporting them with day-to-day operational coordination and helping keep the backend of things running smoothly across the team.

What will you be doing?
- Handle day-to-day operational queries and ensure they reach the right person and are resolved on time.
- Coordinate and manage counselling slots for our panel of counsellors.
- Track scheduled, completed, cancelled and pending sessions and keep records updated.
- Coordinate with counsellors on availability, session updates, documentation and other operational requirements.
- Maintain trackers, reports and databases and make sure the information is accurate, updated and easy to find.
- Manage and track expense reports, invoices and other operational documents.
- Follow up with different stakeholders on pending tasks, information and submissions.
- Identify gaps, errors or delays in processes and proactively work towards resolving them.
- Handle client and counsellor information with care, sensitivity and a high degree of confidentiality.
What are we looking for?
- 0-2 years of experience in operations, coordination, administration, program management or a similar role.
- Bachelor's degree in Psychology is required.
- An eye for detail, a knack for coordination and a genuine interest in making processes better.
- Comfortable working with Excel/Google Sheets, trackers and basic data.
- Good written and verbal communication skills.
- Ability to manage multiple stakeholders, priorities and the occasional last-minute request.
- A problem-solving mindset and a willingness to take ownership.
- Someone who understands the importance of confidentiality, empathy and sensitivity when working in the mental health space.
And most importantly… We’re not looking for someone who just ticks boxes on a checklist. We’re looking for someone who can take ownership, ask questions, spot what’s missing, solve problems and make things work better.
