ROLE PURPOSE

Carry landscape and plantscape projects from work order to handover under the Senior Project Manager running the site when you are on it and running the paperwork when you are not.

This role is deliberately built for someone who has done both: enough field time to know what a site actually needs, and enough back-office time to keep drawings, BOQs, indents, trackers and bills correct and current.

You are the link that stops projects from stalling between the client, the design team, procurement, the nursery and the site.

KEY RESPONSIBILITIES

1. Project Planning & Documentation

- Study the work order, BOQ, drawings and specifications and build the execution plan, material plan and manpower plan for each assigned project.
- Prepare and maintain the project schedule and track actual progress against it week by week.
- Maintain the full project documentation set drawings register, approvals, samples, correspondence, minutes and site instructions.
- Prepare quantity take-offs from AutoCAD drawings and reconcile them against the BOQ before ordering.
- Maintain project trackers in Excel material reconciliation, progress, manpower, cost against budget.

2. Site Execution & Supervision

- Set daily and weekly targets for site supervisors and contract labour and verify what was actually completed.
- Supervise softscape and hardscape execution — soil media, drainage layers, planters, planting, lawns, irrigation and finishing.
- Verify that plant species, sizes, pot types and materials delivered to site match the approved BOQ and samples; reject what does not.
- Maintain quality, safety, housekeeping and site-protocol discipline at every client location.
- Record daily site progress with photographs and report deviations the same day, not at month end.

3. Material, Procurement & Nursery Coordination

- Raise material indents ahead of requirement and follow them through procurement to delivery.
- Coordinate nursery planning,



plant selection, hardening, loading and logistics so material lands on site in condition and on time.
- Carry out inward inspection of plants, planters, soil media, irrigation components and civil material; log shortages and damages.
- Track material issued versus consumed and close the reconciliation at project completion.
- Coordinate with vendors and subcontractors on scope, schedule and quality; escalate non-performance early.

4. Client, Consultant & Approval Coordination

- Act as the day-to-day point of contact for the client, PMC, architect and facility teams on assigned projects.
- Raise site queries and obtain material, sample and deviation approvals in writing before execution.
- Prepare progress updates and short client presentations as required.
- Coordinate with the landscape consultant on design intent, GFC drawings and revisions.

5. Billing, Handover & Maintenance Transition

- Prepare measurement sheets and support RA bill submission, certification follow-up and final account closure.
- Compile the handover set — as-built drawings, warranty certificates, plant schedules and maintenance instructions.
- Complete snag lists and close them before handover sign-off.
- Hand the completed site over to the AMC team with a documented plant list and maintenance scope.

REQUIREMENTS

- 4+ years of total experience in landscape, horticulture or plantscape project work — with approximately 1–2 years on site and around 2 years in a back-office or project-management support role.




- Degree or diploma in Horticulture, Botany, Agricultural Engineering, Agriculture or Landscape Architecture.
- Proficiency in MS Excel — trackers, measurement sheets, material reconciliation, lookups and pivot tables.
- Working knowledge of AutoCAD at a basic level — able to open, read, measure and mark up landscape drawings and take off quantities.
- Able to read a landscape drawing and interpret a BOQ line item correctly.
- Sound plant knowledge — species identification, sizes, pot and planter types, soil media and site suitability.
- English, Hindi and Marathi. Able to write clear emails and minutes.
- Based in Mumbai or MMR and able to travel to sites across the region; own vehicle preferred.
- Organised, documentation-disciplined and able to follow through without being chased.

GOOD TO HAVE

- Corporate campus, IT park, hotel, hospital, township or institutional landscape project experience.
- Green wall, vertical garden, terrace or podium garden execution experience.
- Exposure to RA billing, measurement sheets and project certification.
- Working knowledge of drip and sprinkler irrigation design and installation.
- Experience coordinating with nurseries and plant suppliers across Maharashtra and South India.
- SketchUp, PowerPoint or MS Project exposure.
- Experience handing projects over into an annual maintenance contract.

COMPENSATION, LOCATION & REPORTING

- Compensation: Commensurate with experience and last drawn CTC. Travel reimbursement as per company policy.
- Location: Mumbai. Office plus project sites across Mumbai and the MMR.
- Reports to: Senior Project Manager – Landscape & Horticulture / Directors.
- Team: Site supervisors, gardeners and contract labour on assigned projects.
- Growth: Path to independent Project Manager as project value and complexity handled increases.
- Employment: Full time, permanent.
