– HR Executive

Employment Type: Full-Time

1. Job Purpose The HR Executive will be responsible for supporting and executing day-to-day Human Resources activities across the hospital, ensuring effective employee lifecycle management, recruitment, attendance and leave administration, employee engagement, HR documentation, statutory compliance, and implementation of organisational policies.

The role requires close coordination with clinical, nursing, front office, operations, pharmacy, optical, administration, and support teams to ensure that the hospital remains adequately staffed and HR processes are implemented efficiently and consistently.

2. Key Responsibilities / KRAs

A. Recruitment & Talent Acquisition

- Manage the end-to-end recruitment process for clinical, non-clinical, administrative, and support positions.
- Coordinate with department heads to understand manpower requirements and prepare/review Job Descriptions.
- Source candidates through job portals, social media, referrals, consultants, and other recruitment channels.
- Screen CVs and conduct preliminary HR interviews.
- Coordinate interviews with departmental heads and management.
- Conduct reference/background checks wherever applicable.
- Prepare offer letters, appointment letters, and other pre-employment documentation.
- Ensure timely joining and completion of joining formalities.

B. Employee Onboarding & Induction

- Conduct HR induction and orientation for new employees.
- Ensure completion of joining documentation, employee forms, KYC and statutory documents.
- Coordinate department-specific induction and training.
- Explain organisational policies, employee handbook, code of conduct, attendance, leave, dress code, confidentiality, POSH, and other applicable policies.
- Ensure employee records are updated in the HRMS.

C. Attendance, Leave & HRMS Administration

- Monitor daily attendance, late coming, absenteeism, shift schedules, and regularisation.
- Maintain and administer employee leave records.
- Coordinate with department heads regarding attendance and leave issues.
- Ensure accurate and timely updates in the HRMS.
- Prepare attendance and leave reports for payroll processing.
- Monitor probation periods, confirmation dates, notice periods, and employee status changes.

D. Employee Records & Documentation

- Maintain accurate and confidential personnel files for all employees.
- Ensure employee documentation is complete and updated.
- Maintain records relating to joining, confirmation, transfers, promotions, disciplinary actions, resignations, and exits.
- Issue HR-related letters and certificates as required.
- Ensure proper documentation and confidentiality of employee information.

E. Payroll & Statutory Compliance Support

- Coordinate with the payroll team/consultant for monthly payroll processing.
- Verify attendance, leave, deductions, incentives, overtime, and other payroll inputs.




- Assist with statutory compliance relating to PF, ESIC, Professional Tax, Labour Welfare Fund, Shops & Establishments requirements , and other applicable legislation.
- Maintain records and documentation required for statutory inspections and audits.
- Coordinate with external consultants, payroll agencies, and government authorities where required.

F. Employee Relations

- Act as the first point of contact for employees for routine HR-related queries.
- Address employee concerns and grievances professionally and confidentially.
- Escalate sensitive or complex employee issues to the HR Director/Management.
- Promote positive employee relations and a professional workplace culture.
- Assist in disciplinary processes and ensure appropriate documentation.

G. Performance Management

- Coordinate the employee performance appraisal process.
- Track probation reviews and confirmation assessments.
- Follow up with reporting managers for timely completion of performance evaluations.
- Assist in implementing Performance Improvement Plans (PIPs), where required.
- Maintain performance-related documentation.

H. Training & Development

- Identify training requirements in coordination with department heads.
- Coordinate employee training and development programmes.
- Maintain training calendars and attendance records.
- Ensure completion of mandatory training programmes.
- Maintain training documentation required for internal, statutory, and NABH-related audits .

I. Healthcare / NABH HR Compliance

- Support the HR function in maintaining documentation required under NABH standards and hospital policies .
- Maintain employee qualification, registration, experience, and credential records as applicable.
- Ensure relevant clinical staff documentation is complete and updated.
- Coordinate mandatory training such as fire safety, infection control, patient safety, workplace safety, POSH, and other hospital-specific programmes.
- Assist during internal and external audits by providing required HR records and documentation.
- Ensure HR policies and processes are consistently implemented across departments.

J. Employee Engagement

- Coordinate employee engagement initiatives, celebrations, activities, and internal communications.
- Support employee recognition and appreciation programmes.
- Assist in conducting employee satisfaction/engagement surveys.
- Help create a positive, professional, and patient-focused work culture.

K. Exit & Full & Final Settlement

- Coordinate resignation and exit formalities.
- Conduct/coordinate exit interviews.
- Ensure proper handover and clearance from relevant departments.
- Coordinate full and final settlement with the finance/payroll team.




- Issue relieving/experience letters as per organisational policy.
- Update HRMS and personnel records following employee separation.

L. HR Reporting & MIS Prepare and maintain regular HR reports, including:

- Headcount and manpower status
- Recruitment status
- Employee turnover/attrition
- Attendance and absenteeism
- Leave utilisation
- New joiners and exits
- Probation and confirmation status
- Training status
- Employee engagement activities
- Statutory compliance status

3. Key Performance Indicators (KPIs) The HR Executive will be evaluated on:

1. Timely closure of manpower requirements
2. Quality and accuracy of recruitment
3. Employee documentation completeness
4. Attendance and leave record accuracy
5. Payroll input accuracy and timeliness
6. Timely completion of onboarding and exit formalities
7. HRMS data accuracy
8. Compliance with HR policies and statutory requirements
9. Training coordination and documentation
10. NABH audit readiness and HR documentation
11. Employee grievance resolution and response time
12. Employee engagement initiatives
13. Accuracy and timeliness of HR MIS
14. Confidentiality and integrity of employee information

4. Qualification & Experience

Education:

- Bachelor's degree in Human Resources, Business Administration, Commerce, or a related field.
- MBA/PG Diploma in HR preferred.

Experience:

- 2–4 years of experience in HR operations.
- Experience in a hospital, healthcare organisation, clinic, or other service-oriented organisation will be preferred.
- Candidates with experience in NABH-accredited hospitals will have an added advantage.

7. Role Expectations The HR Executive is expected to be visible and approachable to employees while maintaining professional boundaries and confidentiality . Since the role operates within a healthcare environment, the individual must understand the importance of discipline, punctuality, patient confidentiality, qualified conduct, hygiene, safety, and compliance . They should also be comfortable working closely with doctors, nurses, optometrists, technicians, front-office teams, and administrative/support staff.
