HR & Admin Executive / HR Generalist
Designation: HR & Admin Executive / HR Generalist
Location: Madhavaram Thabbal Petti, Chennai
Mode: 11 AM to 8 PM shift - Mon to Fri & Sat - 9.30 AM to 6.30 PM (1st, 4th, 5th Saturdays)

Reporting To: Senior HR Generalist
Looking for experienced HR candidates from BPO/IT services/IT enabled services kind of industry
Role Summary The HR & Admin Executive is responsible for managing the end-to-end Human Resources and Administration functions for the organization, covering the complete employee lifecycle for two entities combined (~50 FTEs). The role involves talent acquisition, HR operations, payroll, statutory compliance, performance management, employee engagement, and administration, ensuring smooth people operations and statutory adherence while supporting business objectives.
Key Responsibilities
1. Recruitment & Talent Acquisition
- Analyze manpower requirements in coordination with hiring managers
- Finalize job descriptions and post job advertisements on appropriate platforms
- Source, screen, and shortlist candidate profiles
- Coordinate and conduct interviews
- Manage salary negotiations, offer roll outs, and candidate closures
- Ensure timely hiring as per approved headcount plans
2. Onboarding & Employee Lifecycle Management
- Manage onboarding and joining formalities, statutory enrollments
- Collect, verify, and maintain employee documentation and database in HRMS
- Coordinate background verification (BGV) when required
- Issue offer letters, appointment letters, NDAs, and other HR letters
- Create and maintain employee master data in HRMS
- Manage PF & ESI enrollment and employee induction

HR Operations
- Handle day-to-day employee queries and HR support
- Generate headcount and employee-related reports
- Maintain employee records and personnel files
4. Payroll, Compensation & Benefits
- Process monthly payroll and validate payroll data
- Coordinate salary disbursement and resolve payroll-related queries
- Support compensation planning, increments, and promotions
- Calculate and verify OT payments and incentive payouts
- Manage final settlement (FNF), deductions, and exit payments
5. Statutory Compliance & Labour Laws
- Handle statutory filings including PF, ESI, PT, Labour Welfare, and other labour compliances
- Maintain statutory registers and compliance documentation (manual and digital)
- Coordinate with consultants for audits and inspections
- Ensure timely and accurate statutory submissions with zero non-compliance
6. Performance Management & Learning
- Coordinate training plans and ensure implementation
- Manage performance appraisal cycles (PMS)
- Prepare appraisal reports, PMS scores, and appraisal letters
- Facilitate employee review meetings and leadership review discussions
- Support performance feedback and process improvement initiatives
7. Employee Relations, Engagement & Culture
- Handle employee grievances and disciplinary matters
- Monitor attrition and conduct exit formalities
- Plan and execute employee engagement initiatives and celebrations
- Promote employee morale and maintain a positive organizational climate
8. Separation & Exit Management
- Manage resignations, terminations, and absconding cases
- Coordinate exit formalities, clearances, and documentation
- Issue relieving, experience, and other exit-related letters
9. Administration & Facilities Management
- Manage housekeeping and security operations
- Oversee hygiene standards and cleanliness audits
- Manage housekeeping supplies and facility requirements
- Handle vendor management, enquiries, billing, and coordination
- Manage petty cash and prepare expense reports
- Coordinate maintenance activities and facility checks
10. Cross-functional & Management Support
- Coordinate with internal departments as required
- Support audits, inspections, and management reviews
- Provide HR and admin data insights to management
Key Skills & Competencies
- Robust knowledge of HR operations and labour laws
- Payroll processing and statutory compliance expertise
- Excellent coordination and stakeholder management skills
- High attention to detail and data accuracy
- Ability to handle confidential information
- Strong problem-solving and employee-handling skills
Qualification & Experience
- Graduate/Postgraduate in HR, Business Administration, or related field
- 2-5 years of HR experience in end to end HR (recruiting, statutory, payroll, complainces, performance management), preferably as an HR Generalist
- Experience in US healthcare / medical billing / services industry preferred
