ROLE PURPOSE
Take the day-to-day load of recruitment off the HR Manager source, screen, schedule and follow up so that open positions move every single day instead of stalling on the portal.
Alongside recruitment, keep the peripheral HR machinery running: onboarding paperwork, employee records, attendance and leave inputs, statutory documentation support and internal coordination.
Vertvista is hiring across six cities at once. This role exists to make that volume manageable and to make sure no candidate, offer or joining formality falls through the cracks.
KEY RESPONSIBILITIES
1. Sourcing & Screening
- Work the Naukri employer portal daily — search, filter, shortlist and clear the unviewed applicant backlog on every live posting.
- Source additionally through LinkedIn, Apna, WorkIndia, referrals, consultants and local horticulture and diploma institutes.
- Screen CVs against the agreed must-have criteria for each role and maintain an A / B / C fit rating.
- Make first-level telephone screening calls — experience, current CTC, expected CTC, notice period, location and language check.
- Maintain the candidate pipeline tracker accurately and update stage and next action after every interaction.
2. Interview Coordination
- Schedule interviews between candidates and hiring managers across Mumbai, Pune, Bangalore, Hyderabad and Gujarat, and confirm both sides.
- Send interview details, location or video link, and reminders; follow up on no-shows the same day.
- Collect interview feedback from the hiring manager promptly and record it against the candidate.
- Coordinate practical tests where a role requires one (CAD take-off, Excel, site walk).
3. Offers, Documentation & Joining
- Prepare offer letters, appointment letters and joining kits from the approved templates.
- Collect and verify joining documents — ID, address proof, education certificates, previous employment proof, bank and PAN details.
- Run reference checks where instructed and record the outcome.
- Stay in touch with offered candidates through their notice period so that joining drop-offs are caught early.
- Run the Day 1 onboarding checklist — introductions, uniform and ID, email and system access, and induction scheduling.
4. HR Operations & Records
- Maintain the employee master, personnel files and document repository so records are complete and current.
- Compile monthly attendance, leave and overtime inputs for payroll processing and flag discrepancies.
- Support statutory and compliance documentation — PF, ESIC, insurance and labour records — under the HR Manager's direction.
- Track probation confirmations, appraisal due dates, contract renewals and exit formalities on a calendar.
- Draft routine HR communication — letters, circulars, confirmations and experience letters.
5. Reporting & Coordination
- Publish a weekly recruitment status report — positions open, applications received, shortlisted, interviewed, offered and joined.
- Coordinate between hiring managers across cities and keep them updated on the position status they own.
- Maintain the talent bank of valuable candidates not hired, so repeat requirements can be filled faster.
- Support HR administration — vendor coordination, consultant follow-up and job-portal account housekeeping.
REQUIREMENTS
- 1–2 years of experience in recruitment, talent acquisition or HR operations. Fresh graduates with a strong HR internship will be considered.
- Graduate in any discipline; a degree or diploma in HR, Personnel Management or MBA/PGDM (HR) is an advantage.
- Hands-on comfort with job portals — Naukri experience specifically preferred.
- Good spoken and written English and Hindi; able to make screening calls confidently and write a clean email.
- Working proficiency in MS Excel and Google Sheets — filters, sorting, basic formulas — and in Word and Google Docs.
- Organised and follow-up driven. This role is judged on whether things get closed, not on whether they were started.
- Discretion with confidential salary, personal and disciplinary information.
- Based in Mumbai and able to work from the office.
GOOD TO HAVE
- Experience recruiting for field, site or blue-collar roles in addition to office roles.
- Exposure to landscaping, horticulture, facility management, construction or a similar site-based industry.
- Familiarity with an HRMS or applicant tracking system.
- Experience coordinating campus or ITI/diploma institute tie-ups.
- Working knowledge of Marathi for local candidate sourcing.
- Basic understanding of PF, ESIC and statutory HR compliance.
COMPENSATION, LOCATION & REPORTING
- Compensation: Commensurate with experience and last drawn CTC.
- Location: Mumbai head office. Work from office.
- Reports to: HR Manager.
- Growth: Structured path to HR Executive and then HR Generalist as the team scales across cities.
- Employment: Full-time, permanent.
