This role is based at Mumbai and reports in to Property Manager.
Job Summary
We are seeking a professional and well-groomed Front Office Executive to manage our reception desk and serve as the first point of contact for our corporate office. You will represent the companys brand image, manage visitor traffic, and coordinate closely with the integrated facility management (IFM) team to ensure smooth day-to-day administration.
Key Responsibilities
1. Front Desk & Visitor Management
- Greet, welcome, and direct visitors, clients, and vendors to the appropriate departments.
- Issue visitor badges, maintain digital and physical logbooks,
and enforce security protocols.
- Maintain a clean, organized, and professional reception area at all times.
2. Communication & Communication Setup
- Operate the central switchboard to answer, screen, and forward incoming telephone calls.
- Filter spam calls and provide accurate, basic information to callers.
- Handle general email inquiries and direct them to the correct internal stakeholder.
3. Courier & Mail Administration
- Receive, sort, log, and distribute daily mail, packages, and couriers.
- Coordinate outgoing courier dispatches and maintain tracking logs for invoice verification.
4. Facility Coordination
- Coordinate with the pantry and housekeeping staff for meeting room setups and refreshments.
- Log facility complaints (e.g., air conditioning issues, lighting faults) into the internal helpdesk system.
- Track and manage the inventory of reception stationery and front-office supplies.
Requirements and Qualifications
- Education: Graduate degree in any stream; a degree/diploma in Hospitality, Hotel Management, or Front Office is a major advantage. Undergraduates are welcome too!
- Experience: 1 to 3 years of proven experience as a Front Office Executive, Receptionist, or Guest Relations Officer in a corporate setting.
- Languages: High proficiency in spoken and written English and spoken Hindi. Knowledge of Marathi is a plus.
- Technical Skills: Hands-on experience with MS Office (Word, Excel, Outlook) and operating EPABX switchboard systems.
- Soft Skills: Excellent interpersonal skills, a pleasant demeanor, and the ability to handle stressful situations calmly.
