Role Overview

Provides administrative and operational support to the export department, mainly focused on documentation, coordination, data mining, and lead management.

Key Responsibilities

- Assist in preparing export documents (invoice, packing list, declarations, etc.) with the Team in Plant.
- Coordinate with production, packing, warehouse teams and Freight Forwarder to gather shipment details.
- Support communication with freight forwarders for booking confirmations and pickup updates.
- Maintain filing systems (both physical and digital) and organize export documentation.
- Track shipments and update the Export Executive / Manager.




- Assist in preparing proforma invoices and basic customer correspondence.
- Handle routine follow-ups via email and calls.
- Conduct data mining to identify potential markets, customers, and industry trends.
- Support lead generation activities, including researching potential buyers and maintaining lead databases.
- Lead Filter: Send introductory mails to fresh leads, initiate communication, and transfer relevant leads to the Manager.
- Bulk Mails: Send out bulk mailers whenever required.
- Update internal records, MIS, and shipment trackers on Google Sheets.

Qualifications / Skills

- Bachelor's degree (preferably in Business, Commerce, or International Business).
- Basic understanding of export procedures and INCOTERMS.
- Good written and verbal communication.
- Solid coordination and attention to detail.
- Proficient in MS Office (Excel, Word, Email).
- Proficient in Google Workspace (Gmail, Drive, Sheets, Docs, Calendar).
- Ability to research and identify potential leads online.
