Job Summary
We are looking for an Executive – Stores (IT & Technical/Production Stores) to manage the institute’s central technical stores and ensure efficient control of IT equipment, studio/broadcast equipment, AV devices, networking hardware, tools, accessories, and consumables.
The role will be responsible for inventory management, stock control, goods receipt and inspection, material issue/return, asset tracking, procurement coordination, vendor coordination, documentation, and periodic reporting. The ideal candidate should have positive knowledge of inventory/ERP systems, strong Excel skills, and a basic understanding of IT, AV, and technical equipment.
Key Responsibilities1. Inventory & Stock Management
- Maintain accurate inventory records for IT equipment, studio/broadcast equipment, AV devices, networking hardware, tools, accessories, and consumables.
- Update stock transactions in the inventory management system/ERP.
- Monitor stock levels and initiate replenishment before minimum stock levels are reached.
- Conduct periodic physical verification of inventory.
- Reconcile physical stock with system records and investigate discrepancies.
- Ensure proper storage, identification, and organization of technical materials and equipment.
1. Procurement Coordination
- Coordinate with the Procurement team for purchase requirements and material availability.
- Track purchase orders and expected delivery schedules.
- Follow up with vendors regarding pending deliveries, shortages, damages, and replacement items.
- Maintain relevant procurement and stores documentation.
1. Goods Receipt & Inspection
- Receive materials from vendors and verify quantity, specifications, model numbers, and physical condition against purchase orders.
- Coordinate technical inspection with Technology, Production, Academic,
or other relevant teams wherever required.
- Prepare Goods Receipt Notes (GRN) and update inventory records.
- Report shortages, damages, incorrect specifications, or incorrect deliveries to the Procurement team.
1. Material Issue & Return
- Issue materials against approved Material Requisition Forms or authorized requests.
- Maintain issue and return records for equipment, tools, accessories, and consumables.
- Track temporary movement of equipment between departments, classrooms, studios, theatres, and other locations.
- Ensure timely return of equipment and materials issued on a temporary basis.
- Maintain proper documentation for all material movements.
1. Asset Management
- Maintain the institutional asset register with asset tag/serial numbers and relevant equipment details.
- Coordinate asset tagging of newly purchased IT, AV, studio, and technical equipment.
- Update asset records whenever equipment is transferred, relocated, returned, repaired, or disposed of.
- Support periodic and annual physical asset verification/audits.
- Maintain accurate records of asset location, department, custodian, and status.
1. Documentation & Compliance
- Maintain proper stores documentation, registers, GRNs, material requisitions, issue/return records, and asset movement records.
- Ensure adherence to institutional stores, procurement, inventory, and asset management policies.
- Maintain records required for internal and external audits.
- Ensure systematic filing and retrieval of stores-related documents.
1. Reporting
Prepare and maintain periodic reports, including:
- Monthly stock status reports
- Stock reconciliation reports
- Asset movement reports
- Material issue and return reports
- Pending/shortage/damage reports
- Annual inventory and asset verification reports
- Other stores-related reports as required by management
Required Skills
- Hands-on experience in IT/Technical Stores, Inventory Management, or Asset Management.
- Working knowledge of Inventory Management Systems / ERP.
- Strong proficiency in Microsoft Excel, including sorting, filtering, lookups, pivot tables, and basic reporting.
- Good knowledge of MS Office.
- Experience in stock reconciliation and physical inventory verification.
- Knowledge of barcode/asset tagging and asset tracking.
- Basic understanding of IT equipment, AV equipment, networking devices, studio/broadcast equipment, tools, and accessories.
- Good documentation and record-keeping skills.
- Strong coordination and communication skills.
- Ability to work with Technology, Production, Academic, Procurement, Finance, and other internal teams.
- Good attention to detail and ability to maintain accurate records.
Qualification
- Diploma or Degree in any discipline.
- 2 - 4+ years of relevant experience in IT Stores, Technical Stores, Production Stores, Inventory Management, Asset Management, or a similar role.
Preferred Candidate Profile
- Experience handling IT hardware, AV equipment, studio/broadcast equipment, networking equipment, and technical accessories will be an advantage.
- Candidates with experience in educational institutions, media/production environments, studios, theatres, technology companies, or large organizations will be preferred.
- Should be organized, detail-oriented, proactive, and comfortable handling multiple inventory and asset-related activities.
- Ability to maintain confidentiality and follow organizational processes and controls.
