We’re looking for a highly organised, proactive and detail-oriented Executive Assistant to the COO to help run the operating rhythm of the COO’s office.

This role goes beyond traditional calendar management. You’ll help the COO stay prepared, keep priorities moving, ensure decisions and action items are followed through, and make sure the right context reaches the COO before every important interaction.

You’ll work closely with senior leaders and cross-functional teams, handle sensitive information with discretion, and play a key role in ensuring that important priorities don’t fall through the cracks.

What You’ll Do

- Calendar & Priority Management: Own the COO’s calendar, prioritise meetings, resolve conflicts and ensure time is focused on high-impact priorities.
- Meeting Preparation: Prepare agendas, pre-reads, data points and relevant context ahead of important meetings.
- Meeting Management: Attend key meetings, capture MOMs, document decisions and action items, and ensure timely circulation.
- Task & Follow-up Management: Maintain trackers for tasks, decisions and commitments and proactively follow up for closure.
- Context & Briefing: Brief the COO on participants, background, open items and expected outcomes before key interactions.
- Stakeholder Coordination: Coordinate with senior leaders and cross-functional teams on behalf of the COO.
- Leadership Support: Support presentations, business reviews, leadership updates and other strategic material.
- Information Management: Organise documents, reports, notes and communication for easy access and retrieval.




- Execution Support: Track key COO priorities and initiatives and ensure actions move forward across teams.
- Ad-hoc Support: Take ownership of time-sensitive requests and other priorities from the COO.

What We’re Looking For

- 2–5 years of experience as an Executive Assistant, Executive Coordinator, Business Operations Associate, Founder's Office Associate, Chief of Staff Associate, or similar role.
- Excellent calendar, meeting and task management skills.
- Strong written and verbal communication.
- Exceptional attention to detail with the ability to anticipate requirements.
- Comfortable working with senior leadership and cross-functional stakeholders.
- Strong follow-up skills and the confidence to drive closure without formal authority.
- Proficiency in Google Calendar, Google Sheets/Excel, Google Slides/PowerPoint and Google Workspace.
- Ability to handle confidential information with discretion.
- Strong organisational skills and the ability to manage multiple priorities in a quick-paced environment.
- High ownership, proactive mindset and bias for action.

- The COO is well-prepared with the right context before every key meeting.
- Meetings result in clear decisions, owners and next steps.
- Action items are consistently followed up and closed on time.
- The COO doesn’t have to chase people for updates or information.
- Important priorities and commitments don’t fall through the cracks.
