Role Purpose The Executive Assistant acts as the Managing Director's operational extension managing time, information, and access so the MD's attention stays on high-value decisions. This is not a scheduling role: it requires sound judgment around confidential business, financial, and vendor matters in a jewellery retail environment.
Key Responsibilities
- Manage the MD's calendar, prioritizing and rescheduling proactively rather than just recording commitments
- Screen and route calls, emails, and visitors; draft correspondence and internal communication on the MD's behalf
- Prepare, proofread, and organize documents, presentations, and MIS reports ahead of meetings
- Coordinate with department heads (finance, retail operations, procurement) to track pending approvals and follow-ups
- Maintain strict confidentiality on vendor negotiations, pricing, stock movement, and financial matters
- Organize domestic and international travel, accommodation, and itineraries
- Track action items from meetings and ensure timely closure across departments
- Handle ad-hoc assignments including event coordination, vendor meetings, and personal errands tied to business needs
Required Qualifications & Experience
- Diploma/ Graduate degree in marketing and sales
- Advanced MS Office skills (Excel, PowerPoint, Outlook); comfort with basic MIS and reporting tools
- Excellent written and verbal English; Hindi/Punjabi fluency preferred for local vendor and stakeholder interaction
