About the role
This is a founder's office role. You will work alongside our CEO day to day, across everything that runs through him — client proposals, meetings, the calendar, invoices, conferences and his public presence.
The six things you'll own
1. Proposals and client decks Break incoming RFQs into a requirement checklist, chase inputs from technical leads, assemble and format the response, manage versions, handle submission logistics and deadlines. Maintain the reusable content library — company profile, case studies, standard architecture sections, CVs — so nothing gets rewritten from scratch twice.
2. The CEO's calendar and commitments Own the calendar across UK, UAE and India time zones. Protect blocks for deep work, resolve conflicts before they become problems, and prepare him for what's next. Keep a single running list of every commitment he has made — to clients, partners and the team — and surface what's slipping before someone else notices.
3. Minutes at client meetings Sit in on senior client calls, typically with the client's CXO, sustainability head or procurement lead. Keep the written record. Capture what was decided, what we committed to, what dates were promised and what the client owes us — as distinct from what was merely discussed. Circulate a clean summary within 24 hours and chase the open items until they close. Prepare the pre-read beforehand so the room walks in briefed.
4. Invoicing and payment tracking Maintain the invoice register: what has been raised, against which milestone, when it is due, what has landed. Flag overdue accounts early and draft the follow-up. Coordinate with finance on documentation.
You track and chase — you do not approve payments or release funds.
5. Client follow-up and meeting coordination Chase warm leads and existing clients to get meetings in the diary. Manage the back-and-forth of scheduling across time zones, send agendas and reminders, and keep a live view of where every relationship stands and what the next step is.
6. Conferences and the founder's LinkedIn Track relevant industry conferences and trade events — deadlines for speaking submissions, exhibition costs, who's attending, what's worth our time. Handle registrations and logistics. Support the CEO's LinkedIn presence: research and drafting support, maintaining the posting cadence, scheduling, and tracking what lands.
What we're looking for
- Bachelor's degree in any discipline. Engineering, commerce and communications backgrounds all work.
- Genuinely robust written English. You will be writing to European industrial clients and drafting under the CEO's name.
- Real fluency in PowerPoint / Google Slides, Word / Docs, and Excel / Sheets — able to build a clean deck and a working tracker without fighting the tools.
- Organised to the point of stubbornness. You will hold the only complete list of what is outstanding, and you will need to chase senior people for it.
- Composure and discretion. You will be in rooms with client executives from your first month, and you will see commercial and financial information. Both require you to be quiet and reliable.
- Willing to work reliably into the evening IST to overlap with the UK.
Helpful, not required
- Any internship exposure to bids, tenders, executive support, or accounts.
- Interest in sustainability, ESG or EU regulation. We'll teach the domain; curiosity about it matters.
- Comfort with Notion, LinkedIn, or any CRM or project tracker
