About the Role The Assistant Manager – Operations will be responsible for managing day-to-day operations of mortgage processes, ensuring timely and accurate delivery of services while maintaining high standards of quality, productivity, compliance, and client satisfaction.
The role requires strong knowledge of US mortgage operations, process management, team handling, performance monitoring, and risk controls. The Assistant Manager will work closely with internal stakeholders and management to drive operational efficiency, identify process gaps, implement improvements, and ensure adherence to client requirements and applicable US mortgage guidelines.
Responsibilities
Operations Management
- Manage and oversee day-to-day operations for US mortgage Underwriting processes, ensuring timely and accurate completion of assigned activities.
- Monitor workflow, productivity, turnaround time (TAT), and service-level agreements (SLAs) to ensure operational targets are consistently achieved.
- Allocate work effectively across the team based on volumes, priorities, and employee capabilities.
- Ensure smooth functioning of operations and proactively address bottlenecks and escalations.
Team Management
- Lead, guide, and support a team of operations professionals to achieve business and client objectives.
- Monitor individual and team performance and provide regular feedback, coaching, and performance guidance.
- Conduct team meetings, communicate process updates,
and ensure employees are aligned with business expectations.
- Identify skill gaps and coordinate with training/quality teams to address development needs.
- Support hiring, onboarding, and workforce planning activities as required.
Quality & Compliance
- Ensure all processes are performed in accordance with defined SOPs, client guidelines, and applicable US mortgage regulations.
- Monitor quality metrics and work with the Quality Assurance team to identify recurring errors and implement corrective actions.
- Conduct root-cause analysis for operational issues and develop preventive and corrective action plans.
- Ensure proper documentation and adherence to audit and compliance requirements.
- Support internal and external audits by providing required documentation and process information.
Process Improvement
- Identify opportunities to improve productivity, accuracy, turnaround time, and overall process efficiency.
- Drive continuous improvement initiatives through process standardization, automation, and workflow optimization.
- Analyze operational data and trends to identify gaps and recommend appropriate solutions.
- Assist in implementing new processes, systems, and client requirements.
Client & Stakeholder Management
- Coordinate with internal stakeholders, clients, and cross-functional teams to ensure smooth delivery of mortgage operations.
- Handle operational escalations and ensure timely resolution of client or process-related issues.
- Participate in client calls and business review meetings as required.
- Communicate operational performance, challenges, and improvement initiatives to management.
Reporting & Documentation
- Prepare and maintain daily, weekly,
and monthly operational reports covering productivity, quality, TAT, SLA, and other key performance indicators (KPIs).
- Track team performance against defined targets and provide actionable insights to management.
- Maintain accurate process documentation, SOPs, trackers, and operational records.
- Provide regular updates on business volumes, resource requirements, risks, and operational performance.
Risk Management
- Identify potential operational risks and implement appropriate controls to mitigate them.
- Ensure adherence to data security, confidentiality, and information-handling policies.
- Escalate critical issues and process risks to senior management in a timely manner.
Experience
- Minimum 2 years of experience in Assistant Manager role handling US Mortgage Underwriting team (Live or Post close) can apply.
Education
- Any Degree
Knowledge
- Strong understanding of the US mortgage lifecycle
- Strong Knowledge on all 4c's (Credit, Capacity, capital and collateral)
- Good knowledge of mortgage operations, Live or Post close underwriting, quality controls, and risk management.
- Familiarity with Conventional, FHA, VA, USDA, and other relevant US mortgage guidelines is preferred.
- Understanding of operational metrics such as productivity, quality, TAT, SLA, and capacity planning.
Required Skills
