Assistant Manager Admin

Role Summary
CKPC Properties is looking for a hands-on, detail-oriented Assistant Manager – Admin to own end-to-end administrative operations for our Bangalore office. This is primarily an administration-focused role — covering facilities, vendor and contract management, office infrastructure, travel and logistics, statutory compliance, and day-to-day admin support — rather than a generalist HR position. The role reports directly to the VP – Human Resources and is central to keeping the workplace running smoothly, safely, and cost-effectively.
Key Responsibilities
1. Facilities & Office Infrastructure Management
- Oversee the day-to-day upkeep, cleanliness, and functioning of the Bangalore office, including workstations, meeting rooms, pantry, and common areas.
- Plan and manage office space utilisation, seating arrangements, and infrastructure requirements as the team scales.
- Coordinate repairs, maintenance, and AMC (Annual Maintenance Contract) schedules for equipment, HVAC, electrical, plumbing, and other building systems.
- Liaise with the building/facility management team and landlord on lease terms, maintenance issues, and access matters.
2. Vendor & Contract Management
- Identify, evaluate, and onboard vendors for housekeeping, security, pantry supplies, courier, stationery, pest control, and other admin services.
- Negotiate contracts and service-level agreements to ensure quality service at optimal cost.
- Track vendor performance, renewals, invoicing, and payments in coordination with Finance.
- Maintain an updated vendor database and contract repository.
3. Administrative Operations
- Manage front-desk operations, reception, and visitor management protocols.
- Oversee procurement and inventory of office supplies, stationery, pantry items, and admin assets; maintain asset registers and track allocation.
- Administer employee ID cards, access cards, seating allotment, and workstation setup for new joiners in coordination with HR and IT.
- Support internal events, town halls, and offsite arrangements — venue booking, logistics, and vendor coordination.
- Manage courier, mailroom, and dispatch operations.
4. Travel & Logistics
- Coordinate domestic and international travel bookings, accommodation, and local transport for employees and visiting stakeholders.
- Manage the company transport/cab facility, including vendor coordination, route planning, and safety compliance.
- Track and reconcile travel and admin expenses against budget.
5. Compliance, Safety & Documentation
- Ensure statutory licenses, registrations, and certifications (fire safety, building compliance, shops & establishment, etc.) are current and renewed on time.
- Implement and monitor workplace health and safety protocols, fire drills, and emergency preparedness.
- Maintain accurate admin records, SOPs, and documentation for audits and internal reviews.
- Ensure security protocols, CCTV monitoring, and access control systems are functioning and compliant.
6. Budgeting & Cost Control
- Prepare and manage the annual admin budget; monitor spend against budget on a monthly basis.
- Identify cost-optimisation opportunities across facilities, vendors, and admin services without compromising quality.
- Process admin-related invoices, purchase orders, and reimbursements in coordination with Finance.
7. Team Supervision
- Supervise and guide office support staff, housekeeping, and security personnel to ensure service standards are met.
- Train and mentor junior admin staff on processes, vendor coordination, and compliance requirements.
Qualifications & Experience
- Bachelor's degree in any discipline; a certification or diploma in Administration/Facilities Management is a plus.
- 4–9 years of experience in office administration or facilities management, with at least 3-5 years in a supervisory capacity.
- Prior experience managing vendor contracts, office facilities, and admin budgets is strongly preferred.
- Experience working with senior leadership/HR functions in a mid-to-large organisation is an advantage.
Skills & Competencies
- Solid organisational skills with the ability to manage multiple priorities and vendors simultaneously.
- Excellent negotiation skills for vendor and contract management.
- Working knowledge of statutory compliance requirements relevant to office administration.
- Proficiency in MS Office/Google Workspace; familiarity with facility/asset management tools is a plus.
- Strong communication and stakeholder management skills to coordinate across HR, Finance, IT, and external vendors.
- A proactive, problem-solving approach with high ownership and attention to detail.
