The Admin Executive will be responsible for managing day-to-day administrative activities, coordinating office operations, maintaining records and documentation, supporting different departments, and ensuring the smooth functioning of the office.
Key Responsibilities
1. Office Administration
- Manage daily office administration and ensure smooth office operations.
- Maintain office supplies, stationery, pantry items, and other administrative requirements.
- Coordinate maintenance of office equipment, furniture, utilities, and facilities.
- Ensure cleanliness and proper upkeep of the office premises.
- Coordinate with housekeeping, security, maintenance, and other support staff.
- Coordinate with vendors and service providers for office-related requirements.
- Obtain quotations and assist in vendor comparison and selection.
- Prepare and maintain purchase records for administrative requirements.
- Follow up with vendors for timely delivery of materials and services.
- Verify vendor bills and coordinate with the Accounts Department for payment processing.
- Maintain administrative files, registers, agreements, bills, and other records.
- Ensure proper filing of physical and digital documents.
- Maintain employee and office-related administrative records as required.
- Prepare letters, notices, reports, and other routine correspondence.
- Maintain confidentiality of company and employee information.
