About German Square

German Square is a Germany-focused education and language training organization helping students and professionals pursue opportunities in Germany through German language training, Ausbildung, higher education, Opportunity Card, and other Germany-related pathways.

We are looking for a motivated and student-focused Academic Counselor to join our team and guide prospective students from their initial enquiry through the appropriate program and admission process.

Key Responsibilities1. Student Counseling

- Understand students' academic background, career goals, financial considerations, and Germany-related aspirations.
- Counsel students regarding suitable German language courses, Ausbildung, higher education, Opportunity Card, and other relevant pathways.
- Explain program structures, eligibility criteria, timelines, documentation, and overall processes clearly.
- Provide accurate and transparent information to students and parents.

1. Lead Handling & Conversion

- Handle leads received through WhatsApp, phone calls, social media, website enquiries, and walk-ins.
- Contact recent leads promptly and maintain consistent follow-ups.
- Identify genuine prospects and understand their requirements.
- Convert qualified leads into enrollments through effective counseling and communication.
- Maintain a systematic follow-up schedule for pending prospects.

1. Admissions Support

- Assist students throughout the initial admission/enrollment process.
- Coordinate with internal processing and documentation teams when required.
- Ensure students receive the correct information regarding required documents, payments, deadlines, and next steps.
- Follow up with students to ensure timely submission of required information.

1. Student Relationship Management





- Maintain strong relationships with prospective and enrolled students.
- Address basic queries and coordinate with the relevant department for complex issues.
- Ensure a smooth student experience from enquiry to enrollment.
- Maintain regular communication with students regarding important updates and deadlines.

1. CRM & Reporting

- Update all lead and student information accurately in the CRM/system.
- Maintain records of calls, follow-ups, counseling sessions, and enrollment status.
- Prepare daily/weekly reports on leads, follow-ups, conversions, and pending cases.
- Maintain a clean and updated sales pipeline.

1. Target Achievement

- Work towards monthly counseling and enrollment targets.
- Follow company sales and counseling processes.
- Participate in campaigns, seminars, webinars, educational events, and student orientation programs.
- Collaborate with the marketing and admissions teams to improve lead-to-enrollment conversion.

Required Skills & Qualifications
- Bachelor's degree in Education, Business, Psychology, Communication, Management, or a related field.
- 1–3 years of experience in academic counseling, student counseling, admissions, education sales, or a similar role is preferred.
- Excellent communication and interpersonal skills.
- Strong Malayalam and English communication skills.
- Ability to communicate confidently with students and parents.
- Good presentation and convincing skills.
- Strong follow-up and relationship-management skills.




- Basic knowledge of CRM systems, Google Workspace, and Microsoft Office.
- Ability to work with targets and deadlines.
- Strong organizational and time-management skills.

Preferred
- Experience in study-abroad, overseas education, German language training, or migration-related counseling.
- Basic understanding of Germany's education and career pathways.
- Knowledge of German language is an added advantage.

Key Performance Indicators (KPIs) The performance of the Academic Counselor will be evaluated based on:
- Lead response time
- Number of counseling sessions
- Follow-up efficiency
- Qualified lead conversion rate
- Monthly enrollment/conversion
- Revenue contribution
- CRM data accuracy
- Student satisfaction
- Follow-up and pipeline management
