JOB DESCRIPTION
Role Title
Executive Assistant to the President Insurance & Special Projects
Location
Pune
1. JOB PURPOSE
To act as a trusted strategic partner and execution enabler to the President – Insurance & Special Projects, providing analytical support, business insights, governance oversight, and executive office management. The role will ensure effective information flow, drive reviews through structured MIS and dashboards, support strategic initiatives, and enable effective decision-making while managing the President's office and stakeholder interactions.The role requires strong business acumen, analytical capabilities, excellent communication skills, and the ability to coordinate with senior stakeholders across the organization.
2. PRINCIPAL ACCOUNTABILITIES
1. Executive Support & Strategic Advisory
Act as the President's key support partner across strategic initiatives and business priorities.Prepare briefing notes, presentations, decision papers, and business summaries for leadership discussions.Provide analytical inputs, option analysis, and recommendations to facilitate informed decision-making.Anticipate priorities and ensure timely follow-up on key action items.Manage the President's office, including calendar management, meeting schedules, travel coordination, and external engagements.Support the President in managing critical internal and external relationships.
2. Business Reviews, MIS & Governance
Develop and maintain management dashboards, MIS reports, scorecards, and trackers for strategic initiatives.Monitor key business metrics and highlight trends, deviations, and actionable insights.Coordinate periodic review meetings and ensure timely closure of action items. Prepare monthly, quarterly, and ad-hoc reports for senior management and leadership reviews. Ensure effective governance through structured follow-ups and status reporting.Support audit, control, and review mechanisms through timely information management.
3. Stakeholder Management & Cross-Functional Coordination
Coordinate with internal stakeholders across functions including Finance, Legal, HR, Operations, IT, and Business teams.Engage with senior leaders and SPOCs across various workstreams to ensure alignment and execution of priorities.Facilitate cross-functional discussions and track key deliverables.Represent the President in meetings where appropriate and ensure continuity of communication and execution.Build strong working relationships with internal and external stake
holders.
4. Information Flow & Communication
Act as a central repository and coordinator for critical information, decisions, and documentation.Prepare high-quality presentations, business reports, meeting notes, and executive summaries for Boards, Group Chairman, CEOs, and CXOs.Ensure seamless communication between the President, leadership teams, and key stakeholders. Maintain action trackers and ensure timely follow-up on commitments and deliverables.
5. Technology & Productivity Enablement: Leverage digital tools and AI-enabled platforms to improve reporting, analytics, documentation, and productivity.Utilize AI tools for preparing summaries, presentations, research, and business insights. Continuously identify opportunities to improve processes and enhance executive effectiveness.
3. MAJOR CHALLENGES
Managing multiple priorities and changing business requirements in a fast-paced environment.Handling confidential and sensitive information with discretion.Coordinating with senior stakeholders and ensuring timely execution of priorities.Synthesizing complex information into concise insights for effective decision-making.Maintaining responsiveness while ensuring accuracy and attention to detail.
4. DECISIONS
Prioritization and scheduling of meetings, reviews, and executive engagements.Structuring MIS reports, dashboards, and review mechanisms. Escalating issues and highlighting risks requiring management attention.Recommending action plans and follow-up mechanisms to improve execution and governance.Final decision-making authority remains with the President; however, the role significantly influences decision quality and execution effectiveness.

6. EDUCATIONAL QUALIFICATIONS
Engineering degree preferred.MBA from a reputed institution would be an advantage.
7. WORK EXPERIENCE
- 8–12 years of experience in Executive Assistant, Chief of Staff, Business Planning, Strategy, or Corporate Office roles.Experience supporting CXOs, Business Heads, or senior leadership teams.Strong exposure to MIS, business reviews, dashboarding, executive communication, and stakeholder management.Experience in financial services, conglomerates, or large corporate environmen
