PROCUREMENT OFFICER
Department: Operations
Reporting To: Plant Head
Salary: ₹25,000-27000 per month (subject to experience & performance)
Employment Type: Full-time, Permanent
Location: Thrissur, Kerala (Field-based)
Position Purpose
The Procurement Officer is responsible for sourcing, acquiring, and managing raw materials (feedstock) and supplies for the TMC Bio Gas Plant. This role is critical to ensuring consistent, cost-effective, and quality feedstock supply for plant operations and maintaining vendor relationships. The position requires both office coordination and regular field work for supplier engagement and feedstock verification.
Key Responsibilities
Feedstock Procurement & Sourcing
- Identify, evaluate, and establish relationships with suppliers of organic feedstock including cow dung, municipal solid waste (MSW), food waste, agricultural residue, and other biomass materials
- Negotiate terms, pricing, delivery schedules, and contracts with feedstock suppliers and vendors
- Develop and maintain a supplier database with quality ratings, pricing history, and performance metrics
- Ensure reliable, consistent, and cost-effective sourcing to meet plant capacity requirements
Quality Assurance & Compliance
- Conduct field inspections and quality checks on feedstock before procurement and delivery
- Verify feedstock quality meets plant specifications (moisture content, contamination levels, composition)
- Ensure compliance with environmental regulations and waste management rules (MSW handling, biomedical waste exclusion, etc.)
- Document all procurements with relevant certifications and quality reports
Field Work & Supplier Engagement
- Make regular field visits to potential suppliers (dairy farms, restaurants, hotels, municipal waste collection centers, slaughterhouses)
- Build and nurture long-term relationships with suppliers and bulk feedstock generators
- Coordinate pickup schedules, logistics, and transportation of feedstock to the plant
- Handle supplier complaints and resolve delivery or quality issues promptly
Cost Management & Documentation
- Track procurement costs and maintain detailed records of all purchases and vendors
- Prepare purchase orders, invoices, and payment documentation
- Identify cost-saving opportunities without compromising feedstock quality
- Generate weekly/monthly procurement reports for management review
Collaboration & Coordination
- Work closely with the General Manager to understand feedstock requirements and capacity planning
- Coordinate with the plant's quality control and lab team for feedstock testing and approval
- Liaise with finance team for invoice processing and payment scheduling
- Maintain communication with logistics/transportation partners
Required Qualifications
- Bachelor's Degree (or equivalent) in Supply Chain Management, Business Administration, Commerce, or related field
- Minimum 2-3 years of experience in procurement, supply chain, vendor management, or similar role
- Knowledge of agricultural/organic waste materials, feedstock sourcing, or waste management (desirable but training provided)
- Valid driving license (2-wheeler/4-wheeler) for field mobility
- Proficiency in MS Office (Excel, Word) and basic data entry
- Excellent communication skills in English and Malayalam; Hindi is an advantage
Desired Qualifications
- Certification in Supply Chain Management or Procurement (APICS CPIM, Six Sigma, etc.)
- Experience in renewable energy, biogas, or waste-to-energy sector
- Knowledge of environmental regulations and waste management compliance
- Experience with ERP systems or procurement software
- Background in agriculture, dairy, or food waste handling

- Cost Consciousness: Ability to optimize procurement costs without compromising quality
Work Conditions & Requirements
- Field Work: Frequent visits to supplier sites, farms, waste collection centers, municipal corporations, and similar locations
- Physical Demands: Ability to handle outdoor environments, occasional manual inspection of feedstock, and travel within Thrissur district
- Work Schedule: Standard working hours with occasional flexibility for supplier meetings or emergency requirements
- Work Environment: Mix of office-based administrative work and field-based supplier engagement and site visits
- Travel: Regular local travel within Thrissur district and occasional travel to neighboring areas for sourcing opportunities

- Feedstock Availability: Maintaining 100% consistent feedstock supply to meet plant's daily capacity requirements without shortfall
- Cost Optimization: Maintaining competitive procurement costs per unit while ensuring superior quality standards
- Quality Compliance: Zero defects in feedstock quality checks and 100% regulatory compliance with environmental standards
- Supplier Satisfaction & Reliability: Maintaining positive supplier relationships through on-time payments and professional communication
- Documentation Accuracy: Timely, accurate procurement records, invoices, and monthly management reports
Compensation & Perks
- Base Salary: ₹25,000 per month (subject to annual review based on performance)
