Position SummaryWe are seeking a detail-oriented and experienced
Payroll Data Specialist
to manage end-to-end payroll operations for the US Medical Staffing industry. The ideal candidate should have strong knowledge of US payroll processes, excellent analytical skills, and experience handling high-volume payroll with a focus on accuracy, compliance, and timely delivery.Hands-on experience with
Bullhorn
and
Paylocity
will be a significant advantage.
Key ResponsibilitiesProcess weekly and bi-weekly payroll for US healthcare professionals, including nurses and allied healthcare staff.Validate and process timecards received through Bullhorn, VMS, MSP portals, and manual submissions.Review payroll data for accuracy, including regular hours, overtime, shift differentials, per diem, reimbursements, bonuses, and adjustments.Investigate and resolve payroll discrepancies, missing timecards, pay corrections, and payroll exceptions.Coordinate with recruiters, account managers, and internal stakeholders to resolve payroll-related issues before payroll deadlines.Ensure compliance with US federal and state payroll regulations, wage laws, overtime rules, and taxation requirements.Support payroll audits, reconciliation, and payroll reporting.Prepare and review payroll reports, variance reports, and pre/post payroll validation reports.Work closely with Finance, HR, and Operations teams to improve payroll processes and controls.Assist in payroll system enhancements, testing,
and implementation of recent payroll processes.Maintain payroll documentation and ensure adherence to company policies and compliance standards.Provide guidance and support to junior payroll team members and act as the payroll SME for process-related queries.Required QualificationsBachelor's degree in Commerce, Finance, Business Administration, or a related field.4–5 years of experience in US Payroll, preferably in the Healthcare or Medical Staffing industry.Strong understanding of US payroll concepts, including overtime calculations, taxation, garnishments, reimbursements, and payroll compliance.Experience processing high-volume payroll with strict payroll deadlines.Advanced Microsoft Excel skills (Pivot Tables, VLOOKUP/XLOOKUP, formulas, data analysis).Excellent analytical, problem-solving, and communication skills.Ability to work independently in a fast-paced environment.English: B2 level or higher.Work timing: 8:00 AM to 4:00 PM EST. US time zone.Location: Delhi–NCR.
Preferred SkillsHands-on experience with
Bullhorn ATS/CRM .Experience using
Paylocity
payroll software.Knowledge of CTM, VMS/MSP portals, and healthcare staffing payroll processes.Experience with payroll reconciliations, reporting, and process automation.Exposure to Power BI and advanced Excel reporting is an added advantage.Key CompetenciesStrong attention to detail and accuracy.Excellent time management and prioritization skills.Ability to handle confidential payroll information.Customer-focused approach with strong stakeholder management skills.Continuous improvement mindset with a focus on process optimization.Work ScheduleWillingness to work permanent
