Proposal WriterPune, Maharashtra (Remote for right candidate)Full TimeWe are looking for an experiencedProposal Writerwith robust knowledge ofUS and Canadian RFP/proposal processes , particularly within therecruitment/staffing industry . The ideal candidate should be comfortable reviewing complex RFPs, developing compliant responses, preparing pricing and budgets, and coordinating with internal teams to deliver high-quality proposals within strict deadlines.Key ResponsibilitiesReview and analyzeUS and Canadian RFPs, RFQs, RFIs, ITBs, and government solicitations .Develop complete and compliant proposal responses based on RFP requirements.Demonstrate working knowledge ofSAM.govand US government contracting opportunities.Research and identify relevant opportunities throughSAM.gov and other procurement portals .ReviewCanada RFPs , including federal, provincial, municipal, healthcare, and public-sector procurement opportunities.Preparetechnical, management, staffing, and corporate experience sectionsof proposals.Developexecutive summaries, cover letters, capability statements, compliance matrices, and questionnaires .Work closely with recruiting, business development, finance, and management teams to gather proposal information.Understand therecruitment/staffing industry , including staffing models, contract staffing, direct hire, healthcare staffing, IT staffing, and professional services.Assist withbudgeting, pricing, cost analysis, and bill-rate calculationsfor RFP responses.Understand the relationship betweenpay rate, burden, markup, bill rate, gross margin, overhead,



and profit .Prepare pricing schedules and ensure pricing is aligned with RFP requirements and internal profitability targets.Review RFP requirements formandatory forms, certifications, insurance, references, resumes, security requirements, compliance, and submission instructions .Identify RFP compliance gaps and coordinate with relevant teams to resolve them before submission.Maintain proposal templates, reusable content, pricing models, and proposal databases.Track proposal deadlines, amendments, questions, clarifications, and final submissions.Proofread and quality-check proposals for accuracy, consistency, formatting, and compliance.Support post-submission activities, including clarification requests, presentations, and negotiations when required.Required Skills & Qualifications3+ years of experience in Proposal Writing, Bid Management, RFP Management, or Proposal Coordination.Strong understanding ofRFP/RFQ/RFI processes .Working knowledge ofSAM.govand US government contracting/procurement.Experience working withCanadian RFPs and procurement processes .Strong understanding of therecruitment/staffing industry .Experience preparing proposals forstaffing, IT services, healthcare, engineering,



or professional servicesorganizations.Strong understanding ofpricing, budgeting, cost calculations, markups, margins, and bill-rate structures .Ability to analyze RFP pricing requirements and develop competitive yet profitable pricing.Experience preparingcompliance matricesand requirement trackers.Excellent business writing, editing, proofreading, and research skills.Strong Microsoft Word and Excel skills, including the ability to work with pricing and budgeting spreadsheets.Strong attention to detail and ability to manage multiple proposals and tight deadlines.Excellent communication and coordination skills.Preferred SkillsExperience responding toUS Federal, State, Local, and Canadian government RFPs .Knowledge ofSAM.gov, Bonfire, BidNet, MERX, CanadaBuys, provincial procurement portals , or similar platforms.Experience withgovernment staffing contracts/MSPs/VMS programs .Understanding ofW-2, C2C, 1099, contract, direct-hire, and contingent staffing models .Knowledge of healthcare staffing, IT staffing, engineering staffing, or professional services.Experience preparingrate cards, pricing tables, cost proposals, and financial response sections .Familiarity withgovernment contract compliance and certifications .Experience working with Business Development, Recruiting, Finance, and Operations teams.Ideal Candidate:The ideal candidate should be more than a general content writer. We are looking for someone who understandsRFPs + Recruitment/Staffing + Government Procurement + Pricing/Budgeting .
