ADMIN EXECUTIVE

Department: Administration

Reporting To: Assistant Manager – Facility / Administration Manager

1. Job Purpose

To support the day-to-day administrative and facility operations of the hospital, ensuring smooth functioning of departments, proper coordination, maintenance of essential services, and compliance with hospital policies and safety standards.

2. Key Responsibilities

- Conduct daily morning rounds of the hospital to identify operational, housekeeping, maintenance, and facility-related issues.
- Coordinate with concerned departments for timely resolution of issues identified during rounds.
- Monitor and coordinate Biomedical Waste (BMW) management as per hospital policies and applicable guidelines.
- Ensure proper segregation, collection, storage, and handover of biomedical waste in coordination with the concerned staff.
- Monitor linen management, including availability, distribution, collection, and replacement of hospital linen.
- Coordinate with departments for department-wise indents and ensure timely availability of required materials.
- Verify and coordinate the processing of routine administrative and departmental requirements.
- Maintain and monitor petty cash for approved administrative expenses and ensure proper supporting bills and records.
- Conduct regular maintenance rounds and report electrical, plumbing, civil, equipment-support, and other facility-related issues to the concerned team.




- Follow up with maintenance personnel/vendors until reported issues are resolved.
- Maintain records of complaints, maintenance requirements, and corrective actions taken.
- Coordinate with housekeeping, security, maintenance, stores, nursing, and other departments for smooth hospital operations.
- Ensure that assigned administrative activities are completed within the defined timelines.
- Support implementation of hospital SOPs, policies, safety practices, and NABH requirements.
- Assist in maintaining administrative registers, checklists, records, and documentation.
- Escalate critical facility or operational issues to the reporting manager without delay.
- Perform any other administrative or facility-related duties assigned by the management.

3. Qualification

- Graduate in any discipline.
- Diploma/Degree in Hospital Administration, Healthcare Management, Business Administration, or a related field will be preferred.
- Basic knowledge of MS Office and documentation.

4. Experience Requirement

- 1–2 years of relevant experience in Administration / Hospital Administration.
- Experience in a hospital or healthcare environment will be preferred.
- Candidates having exposure to facility coordination,



departmental coordination, maintenance follow-up, linen management, BMW coordination, and administrative documentation will be preferred.

- Basic understanding of hospital administrative operations.
- Valuable documentation and record-keeping skills.
- Ability to conduct rounds and identify operational issues.
- Responsible, organized, and proactive approach.

- Willingness to work in a hospital environment and as per operational requirements.

7. Performance Expectations

The Admin Executive is expected to ensure smooth day-to-day administrative operations, timely resolution of facility-related issues, proper coordination between departments, accurate documentation, and compliance with hospital policies, safety requirements, and NABH standards.

Experience Required: 1–2 Years in Administration
Preferred: Hospital / Healthcare Administration Experience

Pay: ₹23,000.00 - ₹30,000.00 per month
