Role & responsibilities
Administration & Facility Management
- Manage day-to-day administration and operational activities for the Head Office and PAN India showrooms.
- Conduct periodic branch and showroom visits to ensure smooth operations.
- Manage office maintenance, housekeeping, stationery and facility requirements.
- Monitor showroom administrative operations and resolve operational issues.
- Coordinate travel, accommodation and other administrative requirements.
- Ensure offices and showrooms are maintained properly, safely and efficiently.
- Establish, implement and monitor standard operating procedures for administrative activities.
- Coordinate office and showroom infrastructure requirements.
- Maintain proper records of administrative activities, agreements and service contracts.
Logistics & Transportation Coordination
- Coordinate transportation and dispatch of materials across PAN India.
- Monitor delivery schedules and ensure timely movement of materials.
- Coordinate with internal teams, transporters, vendors and logistics partners.
- Track shipments and proactively communicate delays or operational issues.
- Verify logistics documents, invoices and related records.
- Ensure proper documentation and compliance for transportation and dispatch activities.
- Monitor logistics costs and identify opportunities for process improvement.
- Support import logistics activities, including coordination with Customs, CHA and freight forwarders, wherever required.
Legal & Statutory Compliance
- Coordinate with advocates and support legal matters whenever required.
- Manage Trade Licenses, Labour Licenses and other statutory renewals.
- Liaise with BBMP, Labour Department and other government authorities.
- Coordinate insurance renewals and insurance claims.
- Maintain records of licenses, agreements, renewals and compliance documents.
- Ensure timely completion of statutory and regulatory requirements.
Asset, Fleet & Vendor Management
- Manage company vehicles, including insurance, FC, permits, road tax and maintenance.
- Coordinate lease agreements and renewals.
- Manage vendors for logistics, transportation, facilities, maintenance and other administrative requirements.
- Review and coordinate logistics, supplier, conveyance and travel-related bills.
- Coordinate AMC renewals and IT infrastructure requirements.
- Monitor vendor performance, service quality and cost efficiency.
- Maintain records of company assets and ensure their proper utilization.
- Coordinate repairs, maintenance and replacement of office and showroom assets.
Team & Operational Coordination
- Coordinate with internal departments to ensure uninterrupted business operations.
- Preferred candidate profile
- 5-8 years of relevant experience in Administration, Operations, Logistics or Facility Management.
- Hands-on experience in administration and facilities management for multiple locations or showrooms.
- Experience managing vendors, transporters, company vehicles and service providers.
- Knowledge of statutory compliance, licenses, renewals and government coordination.
- Experience in logistics, transportation and dispatch coordination.
- Ability to manage day-to-day operations independently.
- Valuable communication, coordination and negotiation skills.
- Strong organizational, leadership and problem-solving abilities.
- Proficiency in MS Office, particularly Excel.
- Willingness to travel to branch offices and showrooms as required.
