Administrative Executive – MAPFRE RE, IIO Branch (GIFT City, India)

Location: GIFT City (Gujarat International Finance TecCity), India Reporting To: Principal Officer / Branch Management Entity: MAPFRE RE – International Insurance Office (IIO)

Role Overview The

Administrative Executive

will provide comprehensive administrative, operational, and coordination support for

MAPFRE RE's IIO Branch

in

GIFT City . This role is essential in ensuring smooth daytoday functioning of the branch, especially during the establishment stage. The position requires excellent organization, communication, and multitasking skills, with an ability to work in a professional financialservices environment.

Key Responsibilities Office Administration & Coordination Manage daily office operations, facility coordination, and general administrative tasks. Coordinate with external vendors, service providers, and building/SEZ administration. Ensure proper maintenance of office supplies, equipment, and operational logistics. .

Documentation & Record Management Maintain branch documentation, including regulatory files, contracts, correspondences, and internal records. Assist with preparation and filing of reports, letters, meeting minutes, and presentations. Ensure secure and compliant recordkeeping in line with MAPFRE RE and IFSCA requirements.

Support for Underwriting & Operations Assist the Underwriting and Management teams with administrative tasks such as data entry, documentation, scanning, and organizing underwriting files. Coordinate internal approvals, workflows, and communication between local and regional offices. Support the preparation of reports, dashboards, and internal submissions.

Finance & Compliance Support Assist in processing invoices,



vendor payments, and expense documentation. Help maintain compliance checklists, statutory calendars, and audit documentation. Support the Principal Officer in ensuring administrative compliance with local and IFSCA guidelines.

Travel, Scheduling & Logistics Manage calendars, schedule meetings, and coordinate travel arrangements for MAPFRE RE staff visiting GIFT City. Organize internal and external meetings, workshops, and events. Handle visitor logistics and hospitality arrangements.

Reception & Communication Management Act as the first point of contact for calls, visitors, and correspondences. Ensure professional, timely communication with internal and external stakeholders. Draft and manage general email communications as required.

Required Qualifications & Experience 2–5 years of administrative or office management experience, ideally within financial services, insurance, or reinsurance. Strong proficiency in MS Office (Excel, Word, PowerPoint, Outlook). Familiarity with compliancedriven environments or regulated entities is an advantage. Graduate degree in Business Administration, Commerce, or related field.
