Placed by Hotsourced – connecting top South African talent with world-class global companies
This is an exciting opportunity to join a growing UK-based print management agency with a clear purpose: to make print powerful by leading the way in print buying. Working with clients across the UK and collaborating with international teams, the business manages print sourcing and delivery on a global scale.
We are looking for a highly organised, proactive, and commercially minded Executive Assistant who can provide trusted support to senior leadership, with a particular focus on sales and marketing activities. This is a hands-on role for someone who takes ownership, communicates confidently, embraces technology, and looks for smarter ways to get things done.
Company Description
Our client is a growing UK-based print management agency that helps businesses manage print buying, sourcing, and delivery effectively.
Operating in a fast-paced and highly collaborative environment, they work with clients across the UK while coordinating with suppliers and international teams to deliver high-quality solutions on a global scale.
Their culture is built around trust, professionalism, initiative, and continuous improvement. As a lean and ambitious team, they value people who can work independently, solve problems proactively, and identify opportunities to improve how the business operates.
About The Role
We are looking for an experienced Executive Assistant to provide high-level support to senior leadership and help keep priorities, communication, and day-to-day activities running smoothly.
The role will initially involve working closely with the Managing Director and an existing Executive Assistant to gain a strong understanding of the business, its systems, processes, clients, and ways of working. Over time, the role will have a particular focus on supporting leadership across sales and marketing activities , including client communication, campaigns, reporting, content, and related administrative and operational requirements.
This role goes beyond traditional diary and inbox management. The right candidate will be comfortable taking initiative, learning new systems independently, exploring AI and automation, and identifying ways to make processes more efficient.
If you are someone who sees a problem and starts looking for a solution before being asked, you could be exactly who we’re looking for.
Responsibilities - What you’ll be doing:
Own and manage senior leadership diaries and inboxes,
confidently prioritising requests, scheduling meetings, and resolving conflicts with urgency and accuracy.
Manage emails, calls, follow-ups, and action items, ensuring important communication and commitments are never missed.
Organise and support meetings end-to-end, including preparation, agendas, documentation, notes, and tracking actions through to completion.
Support sales and marketing activities, including campaigns, client communications, LinkedIn initiatives, reporting, research, and associated coordination.
Produce professional documents, presentations, reports, and correspondence with exceptional attention to detail and minimal revisions required.
Act as a professional point of contact for clients, suppliers, and internal stakeholders, building and maintaining strong working relationships.
Confidently handle telephone and written communication, gathering the appropriate context and ensuring messages and requests are followed through effectively.
Use Microsoft Office, Microsoft Teams, CRM platforms, job processing systems, project management software, and other SaaS tools to improve productivity.
Explore and utilise AI and automation tools to streamline workflows, reduce repetitive manual work, and improve business processes.
Proactively learn unfamiliar tools and systems through independent research and experimentation rather than relying on step-by-step direction.
Identify issues, bottlenecks, and inefficiencies and proactively recommend or implement practical solutions.
Handle confidential and sensitive business information with absolute discretion and professionalism.
Work independently in a fast-paced remote environment, consistently meeting deadlines and managing competing priorities.
Support wider business activities and projects as required in a growing and dynamic organisation.
Requirements - What we’re looking for:
We think the right candidate will tick most of the following boxes:
Have a minimum of 3 years of experience as an Executive Assistant , ideally within an SME, entrepreneurial, or fast-paced business environment.
Have experience supporting senior leaders, directors, or executives and confidently managing competing priorities.
Demonstrate practical experience improving processes and automating workflows .
Have exposure to sales and/or marketing activities , with an understanding of how these functions support business growth.
Have excellent organisational and time-management skills, with the ability to take ownership and work independently.
Professional to fluent proficiency in written and spoken English.
Outstanding verbal and written communication skills, with the confidence to communicate professionally with clients, suppliers, and senior stakeholders.
Demonstrate excellent attention to detail when preparing correspondence, documents, presentations, and reports.
Have a proactive, solutions-focused mindset and the ability to anticipate requirements rather than waiting for instructions.
Be comfortable learning unfamiliar technology, systems, and processes independently.
Maintain a high level of discretion, reliability, and professionalism when handling confidential information.
Thrive in a fast-paced, fully remote environment where priorities can evolve quickly.
Preferred Skills - Nice to Have:
Experience using automation platforms such as Zapier, Make, n8n, or custom GPT workflows .
Practical experience using AI tools to support administrative, marketing, content, or operational workflows.
Previous exposure to CRM systems, project management platforms, and SaaS tools.
Experience supporting sales and marketing teams , including campaigns, LinkedIn/content activities, reporting, or client communications.
Previous experience supporting senior leadership within a remote or distributed team.
Experience working within a small or growing business where taking initiative and working across different responsibilities is essential.
Work Schedule
