About the Role

We are looking for a detail-oriented and experienced Payroll Specialist with strong expertise in payroll, statutory compliance, and HR operations. The candidate will be responsible for managing end-to-end payroll activities, ensuring compliance with applicable labour laws and statutory requirements, and supporting day-to-day HR operations. The ideal candidate should be capable of independently managing payroll processes, compliance requirements, employee documentation, and operational activities with accuracy, confidentiality, and strong attention to detail.

Key Responsibilities

- Manage the end-to-end payroll process, ensuring accurate and timely salary processing.
- Collect, verify, and process monthly payroll inputs including attendance, leave, overtime, incentives, reimbursements, deductions, salary revisions, new joiners, and exits.
- Prepare and process monthly payroll calculations, salary sheets, payslips, payroll registers, and payroll reports.
- Prepare, verify, and process all applicable payroll-related challans, including PF, ESI, Professional Tax, TDS, Labour Welfare Fund, and other statutory payments.
- Ensure timely generation, payment, and reconciliation of statutory challans within prescribed due dates.
- Handle all statutory filings and returns related to PF, ESI, Professional Tax, TDS, Labour Welfare Fund, Gratuity, and other applicable compliances.
- Maintain proper records of challans, returns, acknowledgements, payment receipts, statutory registers, and compliance documentation.
- Reconcile payroll data with statutory challans, bank payments, accounting records, and employee deductions to ensure accuracy.
- Ensure accurate calculation and deduction of PF, ESI, Professional Tax, TDS, and other applicable statutory deductions.
- Coordinate with Finance for salary disbursement, payroll accounting, statutory payments,



and monthly payroll reconciliation.
- Handle TDS calculations, employee tax declarations, investment proofs, Form 16, and year-end payroll tax reconciliation.
- Manage Full and Final Settlement for exiting employees, including notice pay, leave encashment, deductions, gratuity, and other applicable payments.
- Ensure timely completion of employee joining and exit formalities, including payroll and statutory updates.
- Maintain accurate and up-to-date employee payroll and statutory records in the HRMS/payroll system.
- Handle employee queries related to salary, payslips, deductions, PF, ESI, TDS, tax, reimbursements, and other payroll matters.
- Coordinate with payroll vendors, consultants, auditors, and statutory authorities whenever required.
- Support internal audits, statutory audits, payroll audits, and compliance reviews by providing accurate records and documentation.
- Monitor statutory due dates and maintain a compliance calendar and tracker to ensure that no statutory payment or filing is missed.
- Stay updated on changes in Indian labour laws, payroll regulations, tax rules, and statutory compliance requirements and ensure timely implementation.
- Identify payroll and compliance discrepancies and take corrective action promptly.
- Prepare monthly payroll MIS and management reports, including payroll cost, statutory liabilities, deductions, and compliance status.
- Develop and maintain payroll and HR operations SOPs, checklists, trackers, and process documentation.
- Ensure strict confidentiality and security of employee salary, tax, banking, and personal information.





Required Qualifications & Experience

- Bachelor’s degree in HR, Finance, Accounting, Commerce, or a related field.
- 3–5 years of relevant experience in payroll processing, statutory compliance, and HR operations.
- Strong practical knowledge of Indian payroll and statutory compliance requirements.
- Hands-on experience in preparing and processing payroll challans, statutory payments, and returns.
- Strong knowledge of PF, ESI, Professional Tax, TDS, Gratuity, Labour Welfare Fund, and other applicable compliances.
- Good understanding of applicable Indian labour laws and employment regulations.
- Strong MS Excel skills, including VLOOKUP/XLOOKUP, Pivot Tables, formulas, and data reconciliation.
- Experience working with HRMS/payroll software.
- Strong attention to detail, analytical ability, and problem-solving skills.
- Ability to independently manage multiple payroll, compliance, and HR operational activities.
