Role Description The Facility Manager – Prestigious University will oversee day-to-day facility operations at a university campus in Mumbai in a full-time, on-site capacity.
Responsibilities include managing housekeeping, maintenance, and support services to ensure a clean, safe, and well-functioning environment for students, faculty, staff, and visitors. The role involves supervising vendors and service providers, monitoring compliance with safety, security, and statutory requirements, and implementing standard operating procedures for facility management.
The Facility
Manager will coordinate preventive and corrective maintenance activities, optimize resource utilization, and track service quality and performance metrics. This role will also collaborate closely with university administration to address operational issues, support events, and drive continuous improvement in campus facilities and services.
Key Responsibilities
- Manage day-to-day facility operations and ensure smooth functioning of the workplace.
- Supervise and manage housekeeping, security, maintenance and other facility manpower.
- Handle attendance, deployment, performance and day-to-day coordination of facility staff and outsourced manpower.
- Oversee all technical aspects of the UNSW facility, including electrical systems, HVAC, plumbing, civil works, lighting, DG/UPS-related systems, BMS/FMS and other facility services within UNSW's scope.
- Coordinate with vendors and service providers for electrical, HVAC, plumbing, civil, housekeeping, pest control, waste management and other facility-related services.
- Ensure timely preventive and breakdown maintenance and follow up on closure of complaints.
- Maintain facility-related records, checklists, AMC/service records, asset records, invoices and documentation.
- Monitor cleanliness, hygiene and overall upkeep of the UNSW facility.
- Ensure facility-level safety, emergency preparedness and EHS requirements are followed within the UNSW premises.
- Coordinate with Manyata Tech Park Building Management for building/common-area related issues affecting UNSW operations.
- Support fire drills, emergency drills and other safety activities conducted for the UNSW facility.
- Manage access cards,
visitor coordination and other day-to-day workplace requirements.
- Maintain daily/weekly/monthly FM reports and MIS and provide regular updates to the reporting manager.
- Attend to employee/stakeholder facility-related requests and ensure timely resolution.
- Support meetings, events and other activities requiring facility arrangements.
- Monitor vendor performance and ensure services are delivered as per agreed requirements.
- Assist in maintaining statutory, safety and compliance-related records applicable to the UNSW facility.
- Identify day-to-day facility issues proactively and ensure appropriate corrective action.
Requirements
- 5–8 years of experience in Facilities Management / Administration / Workplace Management.
- Experience in managing housekeeping, security, technical and other outsourced manpower.
- Good vendor coordination and follow-up skills.
- Basic understanding of electrical, HVAC, plumbing, civil maintenance and building services.
- Good understanding of workplace safety, fire safety and basic EHS practices.
- Strong coordination, communication and problem-solving skills.
- Good working knowledge of MS Office / Excel and preparation of reports/MIS.
- Should be comfortable with a hands-on operational role and managing multiple activities simultaneously.
