Summary
As a Veeva Vault RIM (Regulatory) & Data Migration Manager with robust expertise in Veeva Vault RIM (Regulatory Information Management) and Data Migration projects within the life sciences or pharmaceutical domain, a typical day will be to lead the technical administration, configuration, and strategic roadmap for the Regulatory Information Management (RIM) suite. This techno-functional role requires a hands-on expert who can configure complex system elements while leading cross-functional teams, managing vendor relations, and ensuring global regulatory compliance.
Roles & Responsibilities:
- Lead the system Design, Configuration and Implementation of Veeva Vault RIM modules (Registrations, Submissions, Submissions Archive and Publishing).
- Manage Data Migration lifecycle: planning, data mapping, extraction,
transformation, loading (ETL), and validation from legacy systems to Veeva
Vault RIM.
- Act as the primary liaison between Regulatory Affairs, Global IT, QA, and external vendors to translate business needs into technical solutions
- Define and manage project plans, timelines, resources, and deliverables.
- Ensure the platform remains fully validated and compliant with 21 CFR Part 11,
Annex 11, and global regulatory standards
- Act as the point of contact for issue resolution, escalations, and stakeholder communication.
- Lead and mentor junior administrators, business analysts, fostering a collaborative, high-performance environment.
- Participate in solution design sessions, configuration workshops, UAT, and post-go-live support.
- Support the creation of functional and technical documentation including
SOPs, configuration specs, and migration strategy documents.
- Monitor and report progress, risks, and mitigation strategies to leadership.
- Evaluate Internal Releases and Veeva's tri-annual updates, perform impact assessments, manage sandbox environments and deploy new features seamlessly.
- Oversee data migration activities and API integrations with external health authority portals or internal publishing systems.
- Establish the platform governance model and define the long-term technical roadmap for the RIM ecosystem
- Work on cutting-edge Veeva Vault implementations for global clients.

Professional & Technical Skills:
- 12–15 years of total experience with minimum 6–8 years of hands-on experience in Veeva Vault RIM implementation and/or migration.
- Proven experience in leading Data Migration projects involving Veeva Vault or similar regulatory systems.
- Strong understanding of Regulatory Affairs, global regulatory submission processes (eCTD, IND, NDA, MAA) and health authority mandates
- Experience with Veeva Vault Admin/Vault SDK and Veeva Migration tools (e.g.,
Vault Loader, Command Line, Vault APIs).
- Familiarity with GxP compliance, 21 CFR Part 11, and validation requirements.
- Experience in Agile or hybrid project methodologies.
- Experience in life sciences consulting or working with top-tier pharma clients.
- Exposure to integration projects involving Veeva Vault (e.g., with RIM, Clinical,
PromoMats, Quality).
- Knowledge of tools like ETL platforms, SQL, Excel macros, or custom migration scripts.
- Current Veeva Vault RIM Administrator certification is highly preferred.

- A minimum of 6-8 years of experience in hands-on and 12–15 years of total experience is required.
