Assistant Project Manager – US Solar Projects? Location: Noida | Kerala | Work From Home (WFH)

About the RoleWe are hiring an Assistant Project Manager to support and manage project operations for our client, a leading organization partnering with US-based solar projects across both commercial and residential sectors.

The ideal candidate will have strong experience in team management, project operations, client coordination, quality management, and resource planning. Candidates with prior US solar industry experience, particularly in solar PV design, engineering, or project operations, will be given preference.

Key Responsibilities1. Team Management

- Supervise 2 Team Leads and approximately 16–30 employees, depending on project complexity and business requirements.
- Ensure smooth day-to-day operations and maintain team productivity and revenue in line with company targets.
- Monitor team attendance, leaves, absenteeism, and overall workforce performance.
- Maintain absenteeism below 10% and support consistent operational efficiency.

2. Reporting & • Performance Monitoring
- Prepare and submit daily Morning and End-of-Day (EOD) reports to the respective managers.
- Ensure all project reports, trackers, dashboards, and performance metrics are updated accurately and on time.
- Monitor team productivity, quality, TAT, attendance, and other operational KPIs.

3. Resource & • Capacity Management
- Effectively allocate resources based on project volume, priorities, and team availability.
- Balance workloads across multiple projects to maximize resource utilization.
- Manage workforce availability and absenteeism to minimize operational impact.
- Initiate and coordinate cross-project training to improve team flexibility and resource utilization.

4. Team Development & • Leadership
- Conduct regular one-on-one meetings with Team Leads to provide feedback, guidance, coaching, and performance support.
- Ensure Team Leads conduct similar development sessions with their respective team members.
- Identify high-potential employees and develop them for future leadership responsibilities.
- Promote a positive, collaborative, and performance-driven work environment.

Client

Communication &

• Coordination
- Participate in regular client meetings and address operational or project-related concerns.
- Prepare and circulate meeting agendas at least 24 hours before scheduled meetings.
- Document and distribute accurate Minutes of Meetings (MOM) after client discussions.
- Ensure timely responses to client emails and effective management of CRM/chat platforms.
- Coordinate with Professional Engineers (PEs) and other stakeholders to resolve project-specific technical issues.
- Maintain strong client relationships and ensure a high level of customer satisfaction.

6. Quality & • Turnaround Time Management
- Maintain internal team quality above 90% and external project quality above 95%, in line with client expectations.
- Ensure design/project deliverables meet the required 24-hour TAT, wherever applicable.
- Monitor compliance with project SLAs, particularly for projects requiring engineering review and stamping.
- Identify recurring quality issues and implement corrective and preventive actions.
- Ensure adherence to design standards, templates, workflows, and SOPs.

Operational

Excellence
- Request and review monthly quality/performance scores received from clients.
- Identify operational gaps and implement improvement initiatives.
- Address technical and process-related challenges faced by the team.
- Ensure accurate monthly invoices are prepared and submitted by the 3rd of each month.
- Continuously improve processes to enhance productivity, quality, TAT, and customer satisfaction.

8. Attrition & • Attendance Management
- Maintain team attrition below 5%.
- Maintain team attendance above 95%.
- Identify factors contributing to attrition and work proactively on employee engagement and retention.
- Ensure effective leave and workforce planning.

9. Documentation & • Administrative Responsibilities
- Prepare and submit monthly incentive sheets to the accounting team within the required timelines.




- Regularly review and update SOPs, process documents, and operational guidelines.
- Maintain an organized project/document repository, including Dropbox and other designated systems.
- Ensure proper documentation and version control of project-related information.

10.

Client

Satisfaction
- Drive consistent positive client feedback through strong operational performance and quality delivery.
- Monitor customer satisfaction and proactively address issues affecting client experience.
- Ensure project teams consistently meet or exceed client expectations.

11. Revenue & • Productivity Management
- Monitor and maintain revenue per employee in line with company standards.
- Optimize resource utilization and team productivity.
- Identify opportunities to improve operational efficiency and project profitability.

Preferred Qualifications
- Bachelor's degree in Engineering, Management, Project Management, or a related field.
- Relevant experience in project management, operations management, team leadership, or engineering operations.
- Prior experience working with US solar projects is highly preferred.
- Experience working on US residential and/or commercial solar PV projects will be a strong advantage.
- Understanding of solar PV design, engineering workflows, project lifecycle, and US solar industry practices is preferred.
- Experience managing engineering/design teams or technical operations teams.
- Robust client communication and stakeholder management skills.
- Good understanding of quality management, TAT/SLA management, resource planning, and operational KPIs.
- Strong analytical, problem-solving, organizational, and leadership skills.
- Ability to manage multiple projects and priorities in a fast-paced environment.
