Overview

ViaTerra Gear is looking for a responsible and detail-oriented Dispatch Asst Manager to join our team. This role is responsible for managing and coordinating day-to-day dispatch operations, ensuring timely and accurate processing of customer, dealer and Amazon orders.

The Dispatch Asst

Manager will coordinate with warehouse, courier, sales, accounts and customer support teams to ensure smooth order fulfilment, proper documentation and timely delivery. The role also involves monitoring dispatch reports, handling operational issues, analyzing feedback and supporting the team in achieving dispatch and customer service targets.

Role & responsibilities

- Lead and manage the team, allocate work, monitor performance and ensure timely completion of daily operations.
- Handle customer, dealer and Amazon orders, support queries, order processing, dispatch coordination, returns and exchanges.
- Analyze customer/dealer/order-related issues, identify root causes and provide effective solutions with timely follow-up.
- Prepare and review daily, weekly and monthly MIS reports, identify trends, gaps and operational issues, and share actionable feedback with management.
- Monitor team performance, provide regular feedback, support training and ensure adherence to processes and SLAs.
- Coordinate with Sales, Warehouse, Dispatch, Customer Support and other departments to resolve operational issues and ensure smooth order fulfilment.
- Handle escalations from customers,



dealers and Amazon and ensure timely resolution with proper documentation.
- Track order status, pending orders, returns, exchanges, complaints and other key operational metrics and take corrective action.
- Should be proficient in relevant software/tools and have good knowledge of Excel, MIS reporting, order-management systems and basic data analysis.
- Take ownership of day-to-day operations, identify process gaps and recommend improvements to increase efficiency and customer/dealer satisfaction.

Preferred candidate profile

- Atleast 4 years of experience in Dispatch / Warehouse / Logistics / E-commerce Operations
- Experience in handling customer, dealer and Amazon orders and related operational coordination
- Good knowledge of ERP, Excel, MS Office and order management systems
- Strong team handling, coordination and follow-up skills
- Ability to analyze MIS reports, order data, customer/dealer feedback and operational issues
- Strong problem-solving skills with the ability to identify issues and provide practical solutions
- Good understanding of invoices, AWB/LR, dispatch documentation, returns and exchanges
- Ability to monitor team performance and ensure timely completion of assigned tasks
- Good communication skills with customers, dealers,



internal teams and external partners
- Strong attention to detail and ability to work under deadlines
- Ability to coordinate effectively with Warehouse, Courier, Sales, Accounts and Customer Support teams
- Proactive approach towards process improvement, issue resolution and customer satisfaction
- Ability to effectively handle, supervise and coordinate a team, allocate tasks, monitor performance and ensure timely completion of work.
