Role: Accounts Associate, Mumbai Experience: 1-3 yearsSalary: Up to 6 LPA _______________________________________________Job Summary: The Accounts Associate will play a crucial role inmaintaining accurate and efficient financial records, specificallyfocusing on project-wise purchases, grant management, andcompliance with statutory regulations. This position requires adetail-oriented individual with a strong understanding ofaccounting principles and the ability to work independently andcollaboratively within a team. The Accounts Associate will beresponsible for ensuring the integrity of financial data,supporting financial reporting, and providing necessary informationto trustees and other stakeholders. Key Responsibilities: 1.Project-Wise Purchase Management: Manage and track allproject-related purchases, ensuring proper documentation andauthorization. Process purchase orders, invoices, and paymentrequests accurately and in a timely manner. Maintain detailedrecords of project expenditures and reconcile them with projectbudgets. Monitor and control project-related expenses to ensureadherence to budgetary constraints. Liaise with vendors andsuppliers regarding purchase orders, invoices, and payments. 2.Bookkeeping and Accounting Records: Maintain accurate andup-to-date bookkeeping and accounting records. Process and recordfinancial transactions, including accounts payable, accountsreceivable, and general ledger entries. Reconcile bank statementsand other financial records regularly. Ensure all financial data isentered and maintained in accordance with established accountingstandards and policies. Generate and maintain financial reports andsummaries as needed. 3.
Compliance and Statutory Regulations:Ensure compliance with all applicable statutory regulations,including tax laws, MCA policies, and NGO-specific accountingstandards. Stay updated on changes in accounting policies andregulations relevant to the organization. Assist in the preparationand filing of statutory returns and reports. Maintain accuraterecords of all compliance-related activities. 4. Grant Management:Maintain detailed records of grants received and utilized. Trackgrant expenditures and ensure they align with grant agreements andreporting requirements. Prepare grant-related financial reports anddocumentation for submission to grantors. Maintain a comprehensivegrant register. 5. Purchase Registers: Maintain accurate andup-to-date purchase registers. Track and reconcile purchase orders,invoices, and payments. Ensure all purchase transactions areproperly documented and recorded. 6. Trustee Communication andPolicy Implementation: Brief trustees on MCA policies and newaccounting policies specific to NGOs. Maintain records inaccordance with these policies and ensure consistent application.Prepare and present financial information to trustees as required.Respond to trustee inquiries regarding financial matters. 7.Financial Reporting and Documentation: Assist in the preparationand review of financial reports, including balance sheets,
incomestatements, and cash flow statements. Prepare supportingdocumentation for financial reports and audits. Maintain organizedand accessible financial records. 8. InterdepartmentalCoordination: Coordinate effectively with other departments toresolve discrepancies and ensure accurate financial records.Provide financial information and support to other departments asneeded. Collaborate with team members to streamline financialprocesses and improve efficiency. Qualifications and Skills:Bachelor's degree in Accounting, Finance, or a related field.[Specify number] years of experience in an accounting role,preferably in an NGO or similar organization. Strong understandingof accounting principles and practices. Proficiency in accountingsoftware and MS Office Suite (Excel, Word, etc.). Knowledge of MCApolicies and NGO accounting standards.
