CSR Documentation & Partnership Coordinator
Summary
The CSR Documentation & Partnership Coordinator serves as the central hub for managing the complete lifecycle of Corporate Social Responsibility (CSR) initiatives. This pivotal role ensures the seamless creation, organization, and maintenance of all documentation related to prospective and existing partnerships. By bridging the gap between programmatic impact and corporate reporting, the coordinator facilitates transparent communication, ensures regulatory compliance, and upholds the organization's professional image. The position is essential for driving resource mobilization efforts through the strategic preparation of compelling proposals, accurate impact reporting, and the rigorous management of a centralized knowledge repository.
Responsibilities
- Proposal Development: Design and curate high-quality CSR proposals, concept notes, project plans, and presentation materials tailored to the specific priorities of corporate partners.
- Partnership Lifecycle Management: Oversee the full documentation suite for every partnership, including MoUs, approval letters, budget allocations, utilization certificates, and renewal agreements.
- Cross-Departmental Collaboration: Liaise with Program, Finance, MEL, and Communications teams to gather necessary data, beneficiary insights, and financial figures required for proposal and report generation.
- Reporting & Compliance: Coordinate the timely collection and compilation of narrative and impact data to produce periodic reports,
ensuring all deliverables meet agreed-upon deadlines and partner expectations.
- Data Tracking & MIS: Maintain dynamic trackers and Management Information Systems (MIS) to monitor the status of all partners, from initial prospecting to project completion and fund utilization.
- Repository Stewardship: Develop and sustain a centralized digital library containing organization profiles, case studies, financial records, and media assets, ensuring only the latest approved versions are accessible.
- Workflow Optimization: Establish and manage standardized templates and reporting calendars to streamline documentation processes and highlight critical deadlines for senior leadership.
RequirementsRequirements:
- Proven experience in managing documentation for non-profit organizations, specifically within the CSR or resource mobilization sectors.
- Strong proficiency in creating professional proposals, concept notes, and impact reports.
- Demonstrated ability to coordinate across multiple departments to collect and synthesize complex programmatic and financial data.
- Exceptional organizational skills with a keen eye for detail in tracking deadlines, agreements, and compliance documents.
- Experience utilizing databases or tracking systems to manage partnership lifecycles and generate regular MIS updates.
- Ability to translate technical program interventions into clear, compelling narratives for external stakeholders.
- Familiarity with maintaining secure and organized digital repositories for sensitive organizational data.
