Job Title: ORACLE FUNCTIONAL CONSULTANT ERES
Location: Hyderabad/Bengaluru/Pune, India
Employment Type: Full-time
We are seeking 6-9 years of experienced Oracle EBS Functional Consultant to join our Electronic Records and Electronic Signatures (ERES) Practice. The consultant will be responsible for analysing regulated business processes, designing compliant electronic record and signature solutions, configuring Oracle E-Records, integrating approval workflows, and supporting validation, deployment, and production operations.
The ideal candidate should have strong functional experience in Oracle E-Business Suite R12/R12.2, particularly Oracle E-Records, Oracle Approvals Management, Oracle Workflow, and relevant manufacturing, quality, inventory, or process-manufacturing modules.
Oracle E-Records supports capabilities such as electronic signatures, "Sign What You See," one-step signatures, online and deferred signature flows, security rules, indexed XML elements, related events, ad hoc signers, redlining, mobile transactions, evidence-store reporting, and electronic-record printing.
Key Responsibilities
1. Business Requirement Analysis
- Engage with business, quality, manufacturing, regulatory, validation, security, and IT stakeholders.
- Conduct requirement-gathering and solution-design workshops.
- Analyse business processes requiring electronic records and electronic signatures.
- Understand regulatory, quality, audit-trail, data-integrity, and record-retention requirements.
- Identify business events that require:
- Electronic-record generation
- Electronic signatures
- Multiple signers
- Sequential or parallel approvals
- Signature reasons
- Signature comments
- Review and approval workflows
- Record retention and retrieval
- Document current-state and future-state processes.
- Translate business and compliance requirements into Oracle ERES configurations.
- Perform fit-gap analysis against standard Oracle EBS functionality.
- Recommend scalable solutions with minimum customization.
2. Oracle E-Records Configuration
- Configure and maintain Oracle E-Records functionality in Oracle EBS.
- Enable and configure ERES-related profile options.
- Define appropriate responsibilities and user access.
- Enable business events and event subscriptions for electronic-record generation.
- Configure e-record events across applicable Oracle EBS modules.
- Define and maintain:
- E-record event subscriptions

- Signature requirements

- Run and analyse the E-Record Event Setup Verification Report.
Oracle's implementation guidance identifies profile options, responsibilities, business events, subscriptions, AME, configuration variables, setup-verification reports, indexed XML elements, security rules, related events, ad hoc signers, one-step signatures, redlining, mobile enablement, and forced record generation as core implementation areas.
3. Electronic-Signature Configuration
- Analyse electronic-signature requirements for regulated and controlled transactions.
- Configure the number and sequence of required signers.
- Define signer responsibilities and approval authorities.
- Configure signature flows based on:
- Transaction type
- Event type
- Organization
- Department
- Transaction value
- Item, batch, lot, or product
- Quality result
- Exception or deviation
- Configure online, deferred, and one-step signature flows.
- Support electronic initials where required.
- Define signatory roles, signature reasons, comments, and authentication requirements.
- Validate user credentials and responsibility access for electronic signatures.
- Configure ad hoc signer functionality where business processes permit additional reviewers.
- Support signer addition, removal, and sequence changes in accordance with approved business rules.
- Ensure electronic signatures remain linked to the corresponding electronic records.
- Validate rejection, rework, cancellation, and resubmission scenarios.
4. Oracle Approvals Management and Workflow Integration
- Configure or support Oracle Approvals Management for ERES-enabled business events.
- Define approval requirements using:
- Transaction types
- Attributes
- Conditions
- Action types
- Approver groups
- Approval rules
- Approval hierarchies
- Coordinate with Oracle Workflow teams to design end-to-end signature and approval processes.
- Configure workflow notifications, reminders, timeouts, and escalations.
- Validate transitions among:

- Record storage
- Ensure AME-generated approvers align with ERES signature requirements.
- Support Oracle Workflow Mailer and notification-delivery troubleshooting.
- Analyse stuck, deferred, errored, or incomplete workflow activities.
- Coordinate technical changes for custom workflow or AME requirements.
Oracle E-Records setup includes Oracle Approvals Management and its configuration variables as part of the implementation process. The product also supports online and deferred signature flows and Oracle Applications Framework signature confirmation.
5. Evidence Store and Record Management
- Configure and support the Oracle E-Records Evidence Store.
- Validate the generation, storage, retrieval, and presentation of electronic records.
- Ensure electronic records contain the required:
- Transaction details
- Event information
- User information
- Date and time
- Time zone
- Signature details
- Signature reasons
- Approval history
- Related records
- Configure indexed XML elements to support efficient electronic-record searches.
- Support electronic-record viewing, reporting, and printing.
- Configure collated printing for related electronic records.
- Validate record accuracy and completeness against the source transaction.
- Ensure electronic records cannot be modified through unauthorized processes.
- Support record-retention, archival, and controlled-purge requirements.
- Coordinate with database and infrastructure teams for Evidence Store availability, performance, backup, and recovery.
Oracle E-Records includes XML generation, record documents, event validation, indexed XML-element maintenance, Evidence Store reporting, e-record details, and printing of individual, multiple, related, and collated e-records.
6. ERES Security Configuration
- Define and maintain electronic-record security rules.
- Configure access based on:

- Ensure only authorized users can view, sign, print, or administer electronic records.

- Work with Quality Assurance and regulatory teams to translate compliance requirements into system controls.

- Ensure system configurations align with the organization's approved quality procedures and validation standards.

- Ensure configuration changes follow approved change-control processes.
Regulatory suitability should be assessed by the organization's Quality and Compliance teams. Oracle ERES configuration alone does not automatically make a business process compliant.

Oracle E-Records requires the EDR: E-records and e-signatures profile option to enable the functionality. It also uses server time-zone and Workflow notification timeout profiles; incorrect time-zone setup can prevent events from being raised.
