Dispatch Executive – Roles & Responsibilities A Dispatch Executive is responsible for ensuring that finished goods are dispatched accurately, on time, and in accordance with customer requirements while coordinating with production, warehouse, logistics, and transport teams. Key Roles & Responsibilities Plan and execute the dispatch of finished goods as per customer schedules and delivery commitments. Coordinate with the production and warehouse teams to ensure product availability before dispatch. Prepare dispatch documents such as: Delivery Challan (DC) E-Way Bill Tax Invoice Packing List LR (Lorry Receipt) Transport documents Verify product quantity, quality, labeling, and packaging before dispatch. Coordinate with transporters for vehicle placement, loading, and timely delivery. Monitor vehicle movement and ensure on-time delivery to customers. Maintain dispatch records, stock movement registers, and dispatch MIS reports. Update ERP/SAP/Tally systems with dispatch transactions. Coordinate with customers regarding shipment schedules and delivery status. Resolve dispatch-related issues such as shortages, damages, delays, or documentation discrepancies. Ensure proper loading practices and compliance with safety standards. Monitor inventory movement and coordinate with the stores team for stock reconciliation. Maintain FIFO/FEFO practices where applicable.



Coordinate with logistics partners to optimize freight costs and vehicle utilization. Ensure compliance with company policies, statutory requirements, and documentation standards. Support monthly stock audits and physical inventory verification. Prepare daily, weekly, and monthly dispatch reports for management.
