Location: Bandra West, Mumbai
Employment Type: Full-time, In-office
Working Days: 6 days a week

We are looking for a Facility Manager to take complete ownership of the physical infrastructure and non-clinical operations of our Bandra clinic. This is a hands-on role for someone who can ensure that the clinic is always safe, clean, well-maintained, fully functional, and ready for patients and the clinical team.

Role Overview

The Facility Manager will be responsible for the end-to-end management of the clinic’s facilities, including maintenance, housekeeping, procurement, inventory, vendors, repairs, safety, utilities and facility-related compliance.

The ideal candidate should be proactive, organised and comfortable taking ownership of issues from identification through resolution.

Key Responsibilities1. Facility & Maintenance Management

- Manage the day-to-day upkeep and maintenance of the clinic.
- Ensure all electrical, plumbing, HVAC/AC, lighting, civil and other infrastructure is functioning properly.
- Conduct regular facility inspections and identify maintenance requirements proactively.
- Coordinate and close breakdowns, repairs and maintenance issues within defined timelines.
- Maintain preventive maintenance schedules for critical infrastructure and equipment.
- Ensure minimum disruption to clinic and patient operations during maintenance work.

2. Housekeeping & Hygiene

- Manage the housekeeping team and ensure adequate staffing and attendance.
- Maintain high standards of cleanliness and hygiene across the entire clinic.
- Conduct regular housekeeping rounds and inspections.
- Ensure washrooms, waiting areas, consultation rooms, procedure areas, staff areas and common spaces are maintained appropriately.
- Ensure cleaning materials and housekeeping consumables are adequately stocked.
- Implement and monitor housekeeping SOPs and checklists.

3. Vendor & AMC Management

- Identify, onboard and manage facility-related vendors.
- Manage vendors for electrical, plumbing, AC/HVAC, pest control, housekeeping, security, maintenance and other services.
- Track AMC renewals, service schedules and vendor performance.
- Ensure vendors meet agreed timelines and quality standards.
- Negotiate wherever required and ensure cost-effective service delivery.
- Verify vendor bills against actual work/services delivered before submission for payment.

Procurement & Inventory Management

- Manage procurement of facility, housekeeping, maintenance and general consumables.
- Maintain minimum stock levels and ensure timely replenishment.
- Maintain accurate inventory records and conduct periodic stock checks.
- Raise purchase requests and coordinate with relevant internal teams for approvals.
- Prevent unnecessary purchases, wastage and stock-outs.
- Maintain an updated asset and equipment register for facility-related assets.

5. Safety & Compliance

- Ensure the clinic maintains a safe environment for patients, doctors and employees.
- Monitor fire safety systems, emergency exits, fire extinguishers and related safety requirements.
- Coordinate fire drills, safety checks and emergency preparedness activities.
- Ensure compliance with applicable facility, safety, hygiene and waste-management requirements.
- Maintain all relevant facility documentation, certificates, inspection records and compliance trackers.
- Coordinate with external agencies/vendors wherever required for inspections and statutory requirements.

6. Utilities & Infrastructure

- Monitor electricity, water, AC/HVAC and other essential utilities.
- Ensure uninterrupted functioning of critical facility services.
- Track utility consumption and identify opportunities for cost optimisation.
- Coordinate with building management/society for common-area, building and infrastructure-related issues.
- Escalate major infrastructure risks or recurring issues to management with recommended solutions.

7. Repairs & Issue Resolution

- Act as the first point of contact for facility-related issues at the clinic.
- Maintain a facility complaint/issue tracker and ensure timely closure.
- Coordinate with technicians and vendors for urgent repairs.
- Follow up until the issue is completely resolved rather than simply assigning it to a vendor.
- Maintain records of recurring issues and recommend preventive solutions.

8. Clinic Readiness & Patient Experience

- Ensure the clinic is fully operational and presentable before opening each day.
- Maintain a premium, clean and comfortable environment for patients and their families.




- Ensure there are no avoidable facility-related disruptions to the patient experience.
- Work closely with the clinical, front-office and administration teams to address facility requirements.
- Support clinic events, internal activities and special operational requirements whenever needed.

9. Team Management

- Supervise housekeeping and other facility support staff.
- Monitor attendance, performance and discipline.
- Allocate daily responsibilities and ensure adequate coverage.
- Train staff on housekeeping, safety and facility SOPs.
- Ensure backup/replacement manpower is arranged whenever required.

Candidate Profile

We are looking for someone who:

- Has 3–7 years of experience in facility management, preferably in a hospital, clinic, healthcare, hospitality or premium commercial environment.
- Has hands-on experience managing housekeeping, maintenance, vendors and procurement.
- Understands basic electrical, plumbing, HVAC/AC and general maintenance requirements.
- Has experience handling external vendors and AMCs.
- Is comfortable managing multiple issues simultaneously and working in a fast-paced environment.
- Has strong ownership and follow-through.
- Is organised and good with documentation, trackers and basic Excel.
- Has good communication and coordination skills.
- Can independently identify problems and drive them to closure.

Education

- Graduate in any discipline.
- Diploma/Certification in Facility Management, Hospital Administration, Engineering or a related field is an added advantage.
