JOB DESCRIPTION – OPERATIONS EXECUTIVE

Position : Operations Executive – Valve & Flow Control

Department : Operations

Industry : Industrial Valves, Flow Control & Automation

Experience : 2–5 Years

Candidates with relevant manufacturing/industrial experience will be preferred.

Employment Type : Full Time

Location : Coimbatore

Reporting To : Operations Head / General Manager

1. Job Purpose

The Operations Executive will be responsible for coordinating and monitoring the end-to-end operational activities related to the manufacturing and sales of industrial valves and flow control products.

The role involves close coordination with Sales, Engineering, Purchase, Production, Quality, Stores, Logistics, and Customers to ensure that orders are executed within the committed cost, quality, and delivery timelines.

The candidate will be expected to actively track orders, identify bottlenecks, follow up with respective departments/vendors, and provide timely updates to management and customers.

2. Key Responsibilities

A. Order Execution & Coordination

Review customer purchase orders and coordinate with the Sales/Commercial team for order handover.

Create and maintain an Order Execution Tracker for all ongoing orders.

Monitor order status from receipt of PO through engineering, procurement, manufacturing, inspection, testing, and dispatch.

Ensure that customer specifications, approved drawings, datasheets, inspection requirements, and delivery requirements are properly communicated to the concerned departments.

Track committed delivery dates and identify potential delays at an early stage.

Coordinate with internal teams to ensure timely completion of orders.

Provide regular order status updates to management and Sales team.

B. Production & Manufacturing Coordination

Coordinate with Production/Manufacturing teams for execution of valve orders.

Monitor manufacturing progress against planned schedules.

Follow up on machining, assembly, testing, painting/coating, marking, and packing activities.

Ensure production priorities are aligned with customer delivery requirements.

Identify production bottlenecks and escalate critical issues.

Coordinate rework or corrective actions with Production and Quality teams wherever required.

C. Purchase & Vendor Coordination

Coordinate with the Purchase team for procurement of raw materials, castings, forgings, components, actuators, accessories, and bought-out items.

Track purchase orders and expected delivery dates.

Follow up with suppliers to ensure timely material availability.

Monitor critical long-lead items and highlight potential delivery risks.

Support vendor development and performance tracking.

Maintain purchase and material-status trackers.

D. Engineering & Technical Coordination

Coordinate with Engineering for timely release of drawings and technical documents.

Track customer drawing approvals and engineering comments.

Follow up on pending technical clarifications from customers/consultants.

Ensure approved drawings and specifications are available before production.

Coordinate changes or revisions in specifications and communicate them to relevant departments.





Maintain proper records of revisions and customer approvals.

E. Quality, Inspection & Testing

Coordinate with the Quality team for inspection and testing requirements.

Track inspection plans, customer/third-party inspection requirements, and testing schedules.

Coordinate hydrostatic, pneumatic, functional, seat leakage, pressure, and other applicable valve tests.

Track third-party inspection activities wherever applicable.

Ensure inspection reports, test certificates, material certificates, and other quality documents are completed on time.

Coordinate closure of inspection observations and customer comments.

F. Stores & Inventory Coordination

Coordinate with Stores for material receipt and availability.

Monitor availability of critical materials against ongoing orders.

Track shortages and initiate follow-up with Purchase/Stores.

Support inventory reconciliation and material status reporting.

Ensure proper identification and traceability of materials and components.

G. Dispatch & Logistics

Coordinate with Production, Quality, Stores, and Logistics for order readiness.

Ensure all required documents are available before dispatch.

Coordinate packing, marking, documentation, and transportation.

Track dispatch schedules against customer delivery commitments.

Maintain dispatch records and provide dispatch details to Sales/Accounts/Customers as required.

H. Sales & Customer Support

Support the Sales team in coordinating order-related activities after receipt of customer PO.

Provide accurate and timely order status updates.

Coordinate with customers regarding drawings, approvals, inspection schedules, delivery requirements, and documentation.

Assist in resolving customer queries related to order execution.

Maintain proper records of customer communications and pending actions.

Support Sales in identifying potential repeat orders and customer requirements.

3. MIS & Management Reporting

Prepare and maintain regular operational reports, including:

Order booking and order execution status

Production status

Purchase/material status

Pending drawing approvals

Inspection status

Testing status

Dispatch status

Delayed orders

Critical/long-lead materials

Customer pending actions

Vendor pending actions

Order-wise delivery performance

Prepare weekly and monthly MIS reports for management review.

4. Process Improvement

Identify bottlenecks in the order execution process.

Recommend improvements to reduce delays and improve operational efficiency.

Develop and maintain checklists, trackers, SOPs, and process-control documents.

Improve coordination between Sales, Engineering, Purchase, Production, Quality, Stores, and Logistics.

Monitor recurring operational issues and support corrective/preventive actions.

6. Required Skills & Competencies

Technical / Functional Skills

Knowledge of industrial valves and flow control products such as:

Butterfly Valves

Ball Valves

Gate Valves

Globe Valves

Check Valves

Knife Gate Valves

Control Valves

Actuated Valves

Strainers and related flow-control products

Basic understanding of:

Valve manufacturing processes

Machining and assembly

Pressure testing

Hydro/Pneumatic testing

Material procurement

Inspection and quality control

Industrial documentation

Software Skills

Good knowledge of MS Excel

Ability to prepare MIS reports and trackers

Knowledge of ERP systems will be an advantage

7. Educational Qualification

Diploma / Bachelor's Degree in Mechanical Engineering, Production Engineering, Industrial Engineering, Operations, Business Administration, or related discipline.

MBA/PGDM in Operations / Supply Chain / Business Management will be an added advantage.

8. Preferred Experience

Candidates with experience in any of the following industries will be preferred:

9. Ideal Candidate Profile

The ideal candidate should be someone who can drive execution rather than merely monitor activities.

The person should be capable of taking an order from PO receipt → engineering → procurement → production → inspection/testing → documentation → dispatch, coordinating with all stakeholders and ensuring that commitments are met.

Strong follow-up, ownership, analytical ability, communication, and problem-solving skills are essential for this position.

Pay: ₹300,000.00 - ₹350,000.00 per year
