Short write-up on role

In view of current service expansion, our ESL team is seeking to recruit an Executive to join the Fin-Operations team. The role primarily focuses on vendor management, contract creation in the system, rate maintenance, expense validation and approval, reporting, stakeholder coordination, and cost-related operational support. The position requires solid analytical skills, operational cost knowledge, attention to detail, proactive follow-up, and effective stakeholder management to ensure accurate and timely processing of vendor costs and expenses.

The ideal candidate should be a self-motivated professional with strong analytical, communication and stakeholder management skills. The ability to work effectively in dynamic and ambiguous environments, coupled with strong attention to detail and a results-driven mindset, is essential for success in this role.

Responsibilities

Vendor Management Contract & Rate Management
1. Coordinate with Procurement and relevant stakeholders and maintain vendor details and contracts in the system accurately and within agreed timelines. Create and maintain vendor contracts in the system ensure vendor rates, tariffs, effective dates, currencies, and applicable cost components are accurately captured.
2. Coordinate with Procurement to obtain approved contract and rate information. Identify discrepancies between contract information and system data and coordinate corrective action, ensure contract amendments and rate updates are reflected accurately and on time.
3. Maintain good working relationships with Procurement, Operations, Finance, vendors, and other stakeholders.

Reporting & Analysis
1. Prepare regular vendor, contract, expense, and cost-related reports.



Analyse operational cost data and identify trends, exceptions, and improvement opportunities.
2. Provide accurate and timely information to management and stakeholders. Support data validation and reconciliation activities

Process Improvement & Automation
1. Identify opportunities for process improvement, automation, and operational efficiency.
2. Analyse repetitive manual activities and recommend opportunities for simplification or automation.
3. Participate in system enhancements, testing, UAT, and implementation activities. Support development and improvement of standard processes and controls.
4. Measure the benefits of process improvements through reduced manual effort, improved accuracy, faster turnaround time, and better stakeholder experience.

Knowledge Sharing & Capability Building
1. Support knowledge sharing and capability-building initiatives within the team.
2. Develop and maintain SOPs, process documentation, work instructions, and training materials.
3. Promote a culture of continuous learning and operational excellence.

Requirements

Bachelor’s degree in finance, Commerce, Business Administration, Operations, Supply Chain, Logistics, or a related discipline.Professional qualifications in Finance, Supply Chain, or Operations are an advantage.
