Job Description – HR Executive Job Title: HR Executive Department: Human Resources Location: Ludhiana, Punjab Employment Type: Full-Time Reporting To: HR Manager / Management
Job Summary We are looking for a responsible and energetic HR Executive to manage day-to-day HR operations, employee coordination, recruitment, attendance, documentation, and employee engagement across our stores, warehouse, and office.
Key Responsibilities
1. Recruitment & Hiring - Handle recruitment for sales, billing, warehouse, office, and other positions. - Source candidates through job portals, social media, references, and local recruitment. - Screen resumes and conduct initial interviews. - Coordinate interviews with department/floor managers. - Complete joining formalities and employee documentation. - Maintain an updated recruitment tracker.
2. Attendance & Employee Management - Monitor daily employee attendance, late coming, leaves, and absenteeism. - Maintain employee attendance records. - Coordinate shift schedules with managers. - Follow up with employees regarding unauthorized absence. - Maintain employee master data and personal records.
3. Payroll Support - Prepare monthly attendance and payroll inputs. - Track overtime, incentives, deductions, bonuses, and leaves. - Coordinate with accounts/payroll team for salary processing. - Ensure accurate employee records for salary calculation.
4. Employee Onboarding - Complete joining formalities for new employees. - Collect required documents and verify information. - Explain company rules, policies, working hours, attendance, and responsibilities. - Coordinate employee induction and basic training.
5. Employee Discipline & Grievances - Handle basic employee queries and grievances. - Maintain workplace discipline. - Escalate serious employee issues to the HR Manager/Management. - Conduct exit interviews and complete full-and-final documentation.

HR Documentation - Maintain employee files and HR records. - Prepare appointment letters, warning letters, confirmation letters, and other HR documents. - Maintain leave, attendance, recruitment, and employee-performance records. - Ensure HR documentation is properly updated and confidential.
7. Training & Performance - Coordinate employee training programs. - Maintain training attendance and records. - Collect feedback from managers regarding employee performance. - Support performance appraisal processes.
8. HR Compliance - Support compliance related to PF, ESI, labour laws, minimum wages, working hours, and other applicable regulations. - Coordinate with external consultants or management wherever required. - Ensure required employee records are maintained properly. Required Skills - Good communication and interpersonal skills. - Strong follow-up and coordination skills. - Basic knowledge of HR processes and labour laws. - Positive knowledge of MS Excel/Google Sheets. - Ability to maintain confidential employee information. - Good problem-solving and decision-making ability. - Ability to manage multiple employees and locations. - Strong discipline and attention to detail. Qualification & Experience - Qualification: Graduate in HR, Business Administration, B.Com, or related field. - Experience: 1–3 years in HR/recruitment preferred. - Freshers with good communication skills and HR knowledge may also be considered. Key Performance Indicators (KPIs) - Recruitment turnaround time. - Employee retention. - Attendance and absenteeism control. - Accuracy of HR records. - Timely completion of joining formalities. - Employee grievance resolution. - Timely submission of payroll inputs. - Training and employee-development coordination. Working Conditions - Full-time role. - Requires regular coordination with showrooms, warehouse, office, and management. - May occasionally require visiting different company locations.
Pay: ₹15,000.00 - ₹30,000.00 per month
