Senior Recruiting Coordinator (Contract)

Position Overview
Qualys is looking for an experienced Senior Recruiting Coordinator to support our US and EMEA recruiting teams. This role will be responsible for coordinating interviews, supporting candidates throughout the hiring process, and ensuring a smooth experience for hiring managers, interviewers, and recruiters. The successful candidate will work closely with recruiters across multiple time zones and play an important role in helping the recruiting team operate efficiently.
The position will initially be offered on a contract basis and will be based onsite from our Pune office.
Key Responsibilities
Interview Coordination
- Coordinate phone, virtual, and onsite interviews across multiple time zones, primarily supporting recruiters and hiring managers in the United States and EMEA
- Manage complex interview schedules involving recruiters, hiring managers, executives, and interview teams.
- Handle scheduling changes, conflicts, and last-minute requests quickly and professionally.
- Ensure candidates and interviewers have the information they need before interviews take place.
- Support business-critical and leadership hiring through effective coordination and communication.
Candidate Experience
- Serve as the primary point of contact for candidates throughout the interview process.
- Communicate interview schedules, logistics, and next steps in a timely and qualified manner.
- Ensure candidates have a positive experience from initial scheduling through final interviews.
- Build confidence and trust through responsiveness, accuracy, and attention to detail.
Hiring Manager & Interviewer Support
- Partner closely with hiring managers and interview teams throughout the hiring process.
- Ensure interviewers are prepared and informed ahead of scheduled interviews.
- Proactively identify and address scheduling issues before they impact the candidate experience.
- Help create a smooth and efficient interview process for all stakeholders.
Recruiting Administration
- Maintain accurate candidate records and recruiting activity in Workday.
- Monitor interview progress and support the timely collection of interview feedback.
- Ensure recruiting data remains accurate and up to date.
Team Collaboration
- Partner closely with recruiters to support hiring across multiple functions and geographies.
- Collaborate with recruiting coordinators, interns, and recruiting support resources across the Talent Acquisition team.
- Share best practices and contribute to consistent recruiting processes.
- Help recruiters reduce administrative work so they can focus on attracting and assessing talent.
Continuous Improvement
- Leverage recruiting technology, automation, and AI-enabled tools to improve efficiency and simplify administrative processes
- Identify opportunities to improve scheduling efficiency and the overall hiring experience.
- Participate in recruiting projects and process improvement initiatives.
- Support adoption of recruiting technology, automation, and productivity tools.
- Contribute ideas that improve recruiter productivity and candidate experience.
Qualifications
Required
- Bachelor's degree required; MBA or HR specialization preferred.
- 4+ years of experience in recruiting coordination, talent acquisition support, recruiting administration, or a related recruiting role.
- Experience supporting recruiting teams in a fast-paced environment.
- Experience coordinating interviews across multiple time zones.
- Experience supporting leadership and executive hiring processes.
- Experience using Applicant Tracking Systems, preferably Workday.
- Strong proficiency with Microsoft Outlook, Teams, Excel, and scheduling tools.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Ability to work independently and manage multiple priorities.
- Strong customer-service and stakeholder-management skills.

- Maintain high levels of data accuracy and process compliance within Workday.
- Help recruiters spend more time recruiting by taking ownership of interview coordination and related activities.
- Identify opportunities to improve scheduling and the overall hiring experience.
- Be known for responsiveness, reliability, ownership, and attention to detail.
