Role Description The Senior Payroll Manager will be responsible for managing and overseeing the complete payroll function for Imarticus Learning and its group entities, ensuring accurate, timely, and compliant payroll processing across locations and employee categories.
The role will have end-to-end ownership of the payroll lifecycle, including payroll integration, payroll processing, salary structures, statutory compliance, taxation, Form 16, payroll reconciliations, audits, reporting, and payroll system/process improvements.
The individual will work closely with HR, Finance, Accounts, Business teams, external payroll vendors, tax consultants, and statutory authorities** to ensure seamless payroll operations and timely resolution of payroll-related matters.
Key Responsibilities
- Own and manage the end-to-end payroll processing for Imarticus Learning and its group entities, covering the complete monthly payroll cycle.
- Lead payroll integration and implementation, including integration of HRMS, attendance, leave, payroll, finance, and other relevant systems.
- Manage payroll migration, system configuration, testing, UAT, parallel runs, and reconciliation during new payroll system implementations or integrations.
- Ensure accurate processing of salary, incentives, bonuses, variable pay, deductions, reimbursements, arrears, full & final settlements, and other payroll components.
- Review and validate payroll inputs such as attendance, leave, new joiners, exits, salary revisions, promotions, incentives, and employee master data.
- Ensure accurate computation and compliance of TDS, income tax, professional tax, PF, ESIC, labour welfare fund, gratuity, and other applicable statutory deductions/contributions.
- Take complete ownership of employee income tax and payroll tax processes, including tax declarations, investment proofs, tax calculations, tax projections, and year-end tax reconciliation.
- Manage the complete Form 16 process, including validation of payroll tax data, coordination with tax consultants/vendors, generation/distribution of Form 16, and resolution of employee queries.
- Ensure timely and accurate preparation and filing of applicable statutory returns and payroll-related regulatory reports.
- Handle full and final settlements, including leave encashment, notice pay recovery, gratuity where applicable, deductions, and tax implications.
- Perform monthly payroll reconciliations between payroll, HRMS, bank statements, general ledger, accounting records, and statutory payments.
- Prepare and review payroll MIS, variance reports, headcount reports, salary cost reports, statutory reports, and management dashboards.
- Coordinate with Finance and Accounts for payroll accounting, salary funding, journal entries, provisions, payroll-related accruals, and reconciliations.
- Manage payroll audits and provide required payroll records, reports, reconciliations, and supporting documentation.
- Ensure payroll data is accurate, confidential, secure, and maintained in accordance with company policies and applicable regulations.
- Act as the primary point of contact for complex payroll, taxation, statutory, and employee compensation queries.
- Manage and coordinate with external payroll vendors, consultants, tax advisors, and statutory agencies.
- Identify payroll process gaps and drive automation, standardization, integration, and continuous process improvements.
- Develop and maintain payroll SOPs, process documentation, payroll calendars, controls, and checklists.
- Establish strong payroll controls to minimize errors, ensure data integrity, and improve payroll turnaround time.
- Lead, mentor, and supervise payroll team members, providing guidance on complex payroll and compliance matters.
- Stay updated with changes in income tax laws, labour laws, payroll regulations, and statutory requirements and ensure timely implementation within the organization.
Qualifications & Experience
- Bachelor’s degree in Commerce, Finance, Accounting, HR, or a related field. CA/CA Inter, MBA Finance/HR, or relevant payroll/tax certifications will be an advantage.
8+ years of relevant experience in payroll management, preferably handling payroll for medium to large employee populations.
- Strong hands-on experience in managing end-to-end payroll for multiple entities and locations.
- Proven experience in payroll system implementation, integration, migration, and automation.
- Strong knowledge of Indian payroll, income tax, TDS, PF, ESIC, Professional Tax, Labour Welfare Fund, gratuity, and other applicable statutory compliances.
- Excellent understanding of Form 16, Form 12BA, TDS returns, tax calculations, investment declarations, and year-end payroll taxation processes.
- Experience in managing payroll for multiple legal entities, preferably in a fast-paced organization.
- Strong expertise in payroll reconciliation, variance analysis, audit support, and payroll accounting.
- Advanced proficiency in MS Excel, including Pivot Tables, VLOOKUP/XLOOKUP, SUMIFS, data validation, reconciliation, and payroll analysis.
- Hands-on experience with HRMS/payroll systems and payroll integrations; exposure to APIs, file-based integrations, or automated payroll interfaces will be an advantage.
- Strong analytical and problem-solving skills with exceptional attention to detail.
- Excellent stakeholder management and communication skills, with the ability to work effectively with HR, Finance, Accounts, leadership, vendors, and employees.
- Ability to handle confidential employee and compensation data with a high degree of integrity and discretion.
- Prior experience in a senior payroll or payroll leadership role, with demonstrated ability to manage teams and independently own the payroll function.
