Job Title: Program Manager Support Specialist
Experience: 4-8 Years
Level: Asst Manager / Dy. Manager
Location: Remote - Work from Home
Office Timing: 8 am to 5 pm Easter Time (US)
Role Objective The Program Manager Support Specialist provides dedicated project coordination and administrative support to a US-based Program Manager and project stakeholders in the Energy Efficiency industry.
The role tracks schedules, documentation, and open items across the project lifecycle, enabling the
Program Manager to focus on higher-value decision-making and stakeholder management.
- Project coordination & scheduling — Support the Program Manager in maintaining project schedules, tracking milestones and deliverables, and following up on open action items across engineering, procurement, Operations, and accounting workstreams.
- Meeting support — Coordinate project calls and meetings for the Program Manager with customers and stakeholders, prepare agendas, take minutes, and track follow-up actions through to closure.
- Documentation & document control — Maintain and organize project documentation,
including RFIs, submittals, transmittals, drawings, and change orders, in line with EPC project standards.
- Progress & status reporting — Compile periodic project status reports and trackers summarizing progress, risks, and issues for the Program Manager and stakeholders.
- Issue & risk tracking — Maintain risk and issue logs,
follow up on open items with responsible parties, and escalate delays or blockers to the Program Manager in a timely manner.
- Project systems & data — Maintain accurate and up-to-date project data in the tools/systems used by the client (Zoho One) as directed by the Program Manager.
- Administrative support — Handle scheduling, correspondence, and other administrative tasks to free up the Program Manager’s bandwidth for higher-value project management activities.
Core Skills & Expertise (Must Have)
- Hands-on experience supporting project or program management activities within an
Engineering, Procurement, and Construction environment.
- Proficiency in maintaining project schedules, trackers, and EPC documentation such as RFIs,
submittals, and change orders.
- Excellent spoken English communication and solid active listening skills, with the ability to interact confidently and clearly with US-based Program Managers and stakeholders.
- Ability to manage multiple open items and stakeholders simultaneously, tracking issues to closure with minimal supervision.
Qualifications
- Bachelor’s degree in engineering (Civil, Mechanical, or Electrical) would be an advantage
- 4-8 years of experience in a junior project/program management or project coordination role within the EPC industry.
