Position Title: Officer / Executive Officer –Student Records and Assessments

Reports To:Office of the Registrar

Employment Type: Full-time

Position Summary The Officer / Executive Officer – Student Records & Assessmentsis responsible for supporting accurate student records, enrolment and registration, assessment and examination administration, results processing, and academic documentation. The role works closely with the Registrar, Academic Teams, Admissions, Finance, IT/SIS, and Student Services to ensure timely academic administration, reliable student information, and effective student support while maintaining confidentiality and compliance with institutional policies.

Key Responsibilities

1. Student Records & Systems Management

- Maintain accurate and up-to-date student records throughout the student lifecycle.
- Update and validate student information, enrolment status, course registrations,



academic standing, and other approved changes in SIS/SiMS, ERP, LMS, and related systems.
- Maintain secure student files and ensure information is handled confidentially and released only to authorized individuals.
- Identify data inconsistencies and coordinate with relevant teams to resolve system or record-related issues.

2. Enrolment & Registration

- Support enrolment, registration, and course registration activities for new and continuing students.
- Verify student eligibility based on approved academic, financial, and programme requirements.
- Process approved student status changes, including deferrals, withdrawals, transfers, completion, and graduation.
- Coordinate with Admissions, Finance, Academic Teams, Student Services, and IT to resolve student record and enrolment issues.

3. Assessments, Examinations & Results

- Support assessment and examination administration, including schedules, candidate lists, examination documentation, and related arrangements.
- Assist with the collection, entry, verification, and processing of marks and results in accordance with approved procedures.
- Maintain assessment, moderation, examination, and result records and support quality checks before results are released or approved.
- Escalate the result discrepancies, missing information, examination irregularities, or system issues to the appropriate authority.

4. Academic Documents & Student Support

- Support the preparation, verification, and issuance of transcripts, certificates, confirmation letters, and other academic documents.
- Maintain accurate records of academic documents issued and ensure appropriate archiving.
- Provide guidance to students and staff on student records, assessments, examinations, results, and document-related processes.




- Support academic integrity processes and respond to or escalate student and staff queries within agreed timelines.

5. Reporting, Compliance & Quality Assurance

- Prepare and maintain student records, assessment, examination, results, and certification reports, trackers, and documentation.
- Follow institutional policies, SOPs, data protection requirements, quality assurance processes, and records management standards.
- Maintain accurate and audit-ready documentation and support internal reviews, regulatory requirements, and continuous improvement initiatives.
- Undertake additional responsibilities and special projects as assigned by the Registrar or senior management.

Qualifications

Essential

- Bachelor’s degree in any discipline.

Desirable

- Master’s degree or qualification in Computer Science, Information Systems, Education Administration, Business Administration, or a related field.

Experience

- Minimum 2–3 years of relevant experience in student records, registry, assessments, examinations, academic administration, ERP/SIS, or higher education operations.
- Experience with student information systems, LMS, examination systems, or academic document management is desirable.
- Experience in a university or international higher education environment is an advantage.

7. Skills & Competencies

- Strong understanding of student records, enrolment, assessments, examinations, results, and certification processes.
- Working knowledge of SIS/SiMS, ERP, LMS, or student management systems.
- Strong MS Office skills, particularly Excel, Word, and Outlook.
- High attention to detail and accuracy when handling student records, marks, results, and academic documents.
- Excellent written and verbal communication and stakeholder coordination skills.
- Strong organizational, documentation, follow-up, and query management skills.
- Ability to maintain confidentiality and handle sensitive student and academic information responsibly.
- Ability to work effectively under deadlines, particularly during enrolment, examination, results, and reporting periods.
