Position Description Position Title: Officer – Admissions and Enrolment

Role Purpose The Officer – Admissions and Enrolment is responsible for supporting the day-to-day admissions, applicant records, offer, acceptance, enrolment and student onboarding processes of the institution. The role ensures that applicant and admitted student information is recorded accurately, admission documents are verified, enrolment readiness is tracked, and students receive timely and professional support throughout the admissions and enrolment journey. The role works closely with the Manager – Admissions and Enrolment, Office of the Registrar, Admissions, Finance, IT/SIS, Academic Teams and Student Services to support smooth intake operations and accurate institutional records.
Summary of Position
- Support end-to-end admissions and enrolment activities from enquiry/application stage to successful student enrolment and onboarding.
- Maintain accurate applicants and enrolment records in approved systems such as SIS, CRM or other institutional platforms.
- Verify application documents, eligibility requirements, offer acceptance records and enrolment readiness in line with institutional policies.
- Provide timely, accurate and student-centred support to applicants, parents/guardians, students and internal stakeholders.
- Work closely with Admissions, Finance, Academic Teams, IT/SIS, Student Services and the Office of the Registrar to ensure smooth intake operations.
Key Responsibilities
1. Application and Admissions Processing
Process student applications and ensure required information and documents are complete and accurately recorded.
Verify applicant eligibility and support documentation against approved programmed requirements and institutional guidelines.
Follow up on missing information, documents, fee confirmations,
and other admission requirements.
Maintain accurate application records, checklists, status trackers, and admission documentation.
Escalate incomplete, exceptional, or non-standard cases to the Manager or Registrar for review.
2. Offer, Acceptance and Conversion Support
- Support the preparation, verification, issue, and tracking of offer letters, acceptance records, and related communications.
- Coordinate with Finance and relevant teams to confirm fee status and other conditions required for enrolment.
- Track applications, offers, acceptances, deferrals, withdrawals, and pending cases.
- Support student enrolment, course registration, record creation, and onboarding activities for each intake.
- Coordinate with Academic Teams, Finance, IT, and Student Services to resolve enrolment and onboarding issues.
3. SIS/CRM Data Management and Records Maintenance
- Enter, update, and validate applicant and student information in SIS, CRM, ERP, and related institutional systems.
- Maintain accurate records of application, admission, offer, payment, enrolment, and onboarding status.
- Identify and support the correction of duplicate, missing, or inconsistent records following appropriate verification.
- Maintain secure and confidential applicant and student records in accordance with institutional policies and records management requirements.
4. Student, Parent and Stakeholder Communication
- Respond to admission and enrolment-related queries from applicants, parents/guardians, students and internal teams within agreed timelines.
- Provide clear guidance on application requirements, document submission, offer acceptance, enrolment steps, deadlines and escalation points.
- Maintain professional communication through email, phone, CRM, helpdesk, front desk or other approved channels.
- Route complex, policy-sensitive, legal, financial or academic eligibility queries to the appropriate authority without making unauthorised commitments.
5. Reporting, Compliance and Quality Assurance
- Prepare and maintain admissions and enrolment trackers, dashboards and reports on applications, offers, acceptances, enrolments, deferrals, withdrawals and pending cases.
- Follow approved SOPs, admissions criteria, student data protection requirements and institutional quality assurance processes.
- Maintain evidence files, audit-ready records and documentation required for internal reviews, regulatory submissions and management reporting.
- Support continuous improvement by identifying process gaps, delays, data errors and recurring student queries by reporting them to the Manager.
6. Intake Activities and Coordination
- Support admissions events, information sessions, experience days, open days,
orientation activities and student onboarding initiatives.
- Coordinate with internal teams to ensure smooth flow of information between admissions, enrolment, student records and academic operations.
- Maintain confidentiality, professionalism, accuracy and integrity while handling applicant/student information and institutional records.
- Perform any other duties assigned by the Manager, Registrar or senior management from time to time.
Qualifications
Essential
- Bachelor’s degree in any discipline.
Desirable
- Master’s degree or qualification in Education Administration, Business Administration, Information Systems, or a related field.
Experience
- Minimum 2–3 years of relevant experience in admissions, enrolment, student services, academic administration, CRM/SIS, customer service, or higher education operations.
- Demonstrated experience in managing student-facing administrative processes, records, and stakeholder interactions.
- Experience with admissions, student onboarding, or student lifecycle processes in higher education is desirable.
Required Skills and Competencies
- Good understanding of admissions, enrolment, student onboarding and student lifecycle processes in higher education.
- Ability to verify documents, check eligibility criteria and maintain accurate admission records.
- Working knowledge of SIS, CRM, ERP or student management systems; ability to learn institutional systems quickly.
- Strong MS Office skills, especially Excel, Word, Outlook and use of online trackers or shared folders.
- Good written and verbal communication skills for dealing with applicants, students, parents/guardians and internal teams.
- High attention to detail while handling applicant documents, offer records, enrolment data and student information.
- Ability to maintain confidentiality, integrity and professionalism in handling personal and academic information.
- Ability to work under pressure during peak admissions, enrolment and orientation periods.
- Good coordination, follow-up, query management and customer service skills.
